Job Description
This position is responsible for the management and administration of the student Financial Aid Office located on the Levelland Campus. Duties include, but are not limited to, developing and enforcing policy, preparation of federal and state reports, and maintaining compliance with all federal and state regulations governing student financial aid. This position is responsible for coordinating and overseeing audits and compliance reviews. The individual is expected to assign duties in an efficient, effective and competent manner that will motivate employees to strive for improvement and excellence in all work performed.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Coordinate and manage all financial aid programs, ensuring compliance with all federal, state, and institutional financial aid regulations, policies, and procedures.
- Develop policies and procedures for the effective and efficient delivery of financial aid. Interpret, administer, and update financial aid policies to ensure compliance with federal and state regulations.
- Attend training/conferences as necessary to keep knowledge current stay educated and informed about new federal and state guidelines.
- Develop, modify, implement and maintain the application intake and tracking process for proper documentation of all awards for audit trail. Maintain fund control records in accordance with funding level limitations.
- Utilizes and maintains the current financial aid module in the Ellucian Colleague system and ensures that the system is used effectively, and the processes are efficient, technologically up-to-date and user/student friendly.
- Complete federal, state, and institutional reports including applications for federal funding and reports of the expenditures of funds allocated, such as the FISAP (Fiscal Operations Report and Application to Participate) and FAD (Funds Available for Distribution).
- Coordinate internal reconciliation efforts and report to reviewing entities, such as auditors, program reviewers, and accreditation teams.
- Coordinate financial aid operations with other appropriate offices including admissions and records, business office, and advising.
- Oversee and administer functions of the department by hiring, training, supervising, and evaluating all full-time and part-time employees.
- Resolve and/or assist in the resolution of problems and/or complaints and initiate corrective action as appropriate.
- Oversee the Satisfactory Academic Progress (SAP) and Return of Title IV (R2T4) Funds processes.
- Oversees the preparation of the annual students’ cost of attendance, maintenance of the Financial Aid pages on the SPC website, processing of veteran educational benefits, student work-study program
- Oversee the development, design, revision, and update of all publications (website, college catalog, and other media) relating to financial aid, such as financial aid applications, forms used for tracking applications, correspondence forms, and brochures.
- Manages the budget for the department.
- Serves on assigned committees.
- Other duties may be assigned by the dean of enrollment management and the vice president for student affairs.

EDUCATION and/or EXPERIENCE
Required:
Bachelor’s Degree
Advanced computer literacy
Preferred:
FAAC® designation from NASFAA highly preferred
Previous financial aid experience
Management and supervisory experience
Knowledge of Ellucian Colleague
LANGUAGE SKILLS
Must have the ability to read, write and comprehend instructions. The ability to effectively respond to questions from students, parents, and the public is essential. Excellent communication and interpersonal skills needed.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, percentages and decimals.
REASONING ABILITY
Must have the ability to manage large workflow with little or no supervision. Must be self-motivated individual with great attention to detail.
