EDUCATION COORDINATOR
Part-time, hourly 18-20 hrs weekly
Hourly rate: $18
FLSA Status: Hourly, Non-Exempt
Reports to: Director of Education
Position Overview:
The Program Coordinator is an organized and proactive person capable of managing maintenance, monitoring inventory, scheduling studio use, and tracking budget expenditures for South Shore Arts studio and gallery programs. The Education Coordinator will work closely with the Director of Education to oversee educational program facilities and related administrative duties. The responsibilities associated with this position, as listed below, capture that for which the Education Coordinator will be responsible at the time of hire. Responsibilities will change as needed.
Essential Duties/Responsibilities
Facilities: Studio
· Maintain sufficient supply of all studio materials
· Promote studio safety and proper use of the studios
· Arrange and organize studio spaces to be productive creative learning environments
· Load /Unload kilns when kiln tech is out of town or unavailable.
· Coordinate /manage scheduled maintenance needs of studios (kiln/Slab Rollers/Photo Lab/Sinks/Etc.)
· Be onsite when any professional studio maintenance/kiln work is being performed
· Pre/Post program clean-up onsite in studios / keeping studio clear of clutter
- Continuation of larger ongoing projects, maintaining and improving Hammond and CVPA studio “usability” and accessibility for all classes
- Regularly coordinate/update CVPA building and night crew/staff of programs, all schedules, current & on-going
- Help with organization and processes put in place by DOE.
Programs
Onsite Programs/Offerings
· Attend events as requested—including, but not limited to, exhibition openings, studio open houses, and the annual fundraising gala
· Support on-site and off-site programs
· Support activities related to TAB-the South Shore Arts Teen Arts Board
· Support activities related to HSP-Hammond Scholarship Program
- Once supply budget is determined per class (by DOE), the coordinator works with instructors to determine supply needs (going through studio supplies on hand prior to ordering new), create a list of supplies to be ordered, and have them ready for classes.
- Purchase supplies and maintain a monthly/quarterly Excel spreadsheet/Expense report for our Finance Department.
· Database entry and management for class registration and outreach administration
- Print out and distribute class rosters to all teachers prior to first class.
- Assist in signing up & refunding customers through NEON, our payment portal.
- Promote programs with customers that call and drop-in
- Share weekly studio and kiln schedules with instructors and students
- Assist DOE on keeping students and instructors updated on large scale SSA art "happenings,” like “Work in Progress Show.”
- Be onsite to assist new teachers for their first class
- Fill in on a class if needed
- Update calendars in each studio
- Once searched and hired (by DOE), Coordinator helps new instructors to learn the studios and building, making sure they have what they need to begin teaching classes and all programs, both on and off-site.
- Assist in planning & prepping for Special Events: Juneteenth Celebration, Christmas workshops, Family Arts Festival, Dia De Los Muertos, Chinese New Year, Holiday tree
- Assist in planning & prepping for Fee for Service: Tradewinds, Beatles Fest, Shirley Heinz, Summer camps, Birthday parties, Every Generation, Summer Concert Series, YMCA camps, Woodrow Wilson
- Assist with planning our magazine Convergence.
Every Kid! Program
- Once DOE determines school audience, Coordinator with instructors to schedule all programs with schools.
- Stock and manage all supples, books, surveys, needed for Every Kid.
- Coordinate and send all information/ welcome letters and links for stories to teachers once schools are scheduled
- Be onsite at schools to assist new teachers to learn any new program and teach the program in schools, if needed

Job Requirements
· Be a multitasker, with a strong work ethic, who works well with others
· Accommodate a flexible workday, able to work daytime and evening hours, as needed
· Associate degree or Certificate in fine arts, visual art education, education, non-profit administration or demonstrated experience carrying out the responsibilities associated with this position is highly suggested.
· Excellent organizational and interpersonal skills
· In-depth knowledge of visual art studio safety and management
· Highly proficient with Microsoft Office Suite – especially Word, Excel, Outlook and PowerPoint
· Experience with CRM databases in a nonprofit environment
· Must be able to lift over 50 lbs.
· Must have access to a reliable mode of transportation.

Responsibility
· Employee must be able to effectively manage multiple projects and competing priorities.
· Employee will maintain programatic data in a centralized location at the direction of the Director of Education.
· Employee will maintain studio and gallery facilities as described above.
· Employee will support Director of Education as needed and recognizes that responsibilties may change as a result of shifting programmatic priorities.
Working Conditions
- May be required to lift up to 50 lbs. occasionally. Work may be performed in an office, studio and gallery environments. Some work may be performed in the field.
