Summary:
The Operations Support Specialist is a key operational role responsible for analyzing and optimizing job costing and margin planning across our HVAC, Plumbing, Sewer and Drains, and Electrical business units. This position ensures accurate financial tracking and reporting while identifying opportunities for operational improvements. The ideal candidate is detail-oriented, analytically minded, and skilled in managing administrative tasks with speed and precision. This role directly supports the Director of Operations in driving operational efficiency and achieving gross margin goals.

Key Responsibilities:
Data Analysis and Review
- Conduct daily reviews of job closeouts to identify discrepancies, missing approvals, or compliance issues.
- Evaluate true costs of completed jobs, including labor, materials, and associated expenses, to identify areas for cost and margin improvement.
Reporting and Documentation
- Prepare detailed reports on job cost variances, flagged items, and margin insights for management review.
- Maintain organized and accurate records of data analyses and operational metrics.
Financial Tracking and Validation
- Ensure jobs are correctly assigned to their respective business units for accurate revenue reporting.
- Perform weekly reviews of split commission reports to ensure accurate payroll and revenue allocation.
- Monitor material orders and ensure proper job planning and alignment with operational objectives.
Process Improvement
- Work closely with department heads to validate job cost data, resolve discrepancies, and support gross margin goals.
- Recommend and implement process enhancements to improve operational efficiency and financial tracking.
Collaboration and Support
- Collaborate with Operations, Accounting, and other departments to address inconsistencies or errors in data.
- Support the Director of Operations in driving efficiency initiatives and achieving gross margin targets.
- Operational Mindset: Proven ability to analyze business processes and contribute to operational improvements.
- Excel Expertise: Advanced proficiency in Excel, including pivot tables, formulas, and data visualization tools.
- Analytical Skills: Minimum of 2 years of experience in cost analysis, accounting, or operations support, ideally within home services or a related industry.
- Administrative Efficiency: Strong administrative skills, with a focus on speed and accuracy in handling data and completing tasks.
- Detail-Oriented: Exceptional attention to detail to ensure precise financial and operational tracking.
- Adaptability: Thrives in a dynamic, fast-paced environment, managing multiple priorities with efficiency.
