What are the responsibilities and job description for the Public Works and Community Development Assistant position at South Whitehall Township?
Section I: Summary of the Position:
Reporting to the Director of Operations and Director of Community Development, the Public Works and Community Development Assistant will provide clerical and administrative support to the director and staff through planning and organizing of community-based projects and programs.
Also, will be provide clerical and administrative support to the Public Works department, Director of Operations and Township Manager as assigned.
This position is classified as a Non-exempt/Hourly position in accordance with the Fair Labor Standards Act (FLSA).
Section II: Essential Duties and Responsibilities:
Community Development duties:
- Type, file, and copy documents for the department.
- Assist with posting, setting up and cleaning up of monthly meetings. Arrange for stenographers for meetings.
- Collect, scan, file BCAB Applications for Monthly Meeting as needed. Scan and file flood plain permits.
- Collect, scan, file shade tree permits for monthly meetings.
- Assist with generating and sending Mailout and BOC Mailout.
- Assist staff with land development project filing as needed.
- Assist with maintaining deadlines for public notice advertisements.
- Assist with preparing packets and information for Planning Commission and Zoning Hearing Board.
- Maintain calendar for renewals for financial security instruments and insurance policies of developers that have land development in progress.
- Assist with recurring obligations of the On-site Septic Reimbursement Program and the UCC training fund obligation are started and processed.
- Direct walk-in customers who may have questions about permits or other issues in Community Development Dept.
- Act as a back-up to Permits Clerks and Receptionist.
- Perform other duties as assigned.
Public Works duties:
- Type, file, and copy documents for the department.
- Serve as the primary departmental contact to the public to receive, route, process and follow citizen inquiries, assisting to ensure the department provides complaint resolution and information in a timely manner.
- Maintain the department's database programs, spreadsheets, producing correspondence.
- Provide administrative support for meetings as assigned, including scheduling meetings and preparing minutes.
- Create, track, and maintain work orders for the Public Works department.
- Assist with preparing grant applications and track progress toward grant requirements.
- Assist project team members in department planning, schedules, and resources, including advertising and recording bidding procedures associated with department and capital projects.
- Assist with creating Right-of-Way Permits.
- Assist with planning and execution of public works community events, including project grand openings and other public events.
- Perform other duties as assigned.
Other Assistant Duties:
Assist Township Manager with tasks and projects as assigned.

· Proficiency in Microsoft Word, Outlook, and Excel.
· Ability to maintain routine records and prepare reports concerning the work.
· Ability to establish and maintain effective working relationships with the public.
Section IV:Education and Experience:
- High School Diploma is required. Bachelor’s degree in public administration, or a related field is preferred.
- A minimum of at least (2) years of experience in clerical, building permits issuance and review is preferred.
