Reception & Office Administration
- Answers and directs phone calls, manages voicemails, and greets visitors
- Maintain a clean and organized office and lobby area
- Process incoming and outgoing mail
- Manage office supplies inventory
- Assist the President with correspondence, scheduling, and occasional personal tasks.
- Maintain and update staff directory
- Manage and update client and vendor records with address, phone numbers, emails and other pertinent info
- Manage local and national membership documentation and requirements, i.e., OSHA, ABC, CCA, etc.
Estimating Support
- Schedule bid meetings and create bid project files
- Manage bid invitations, track subcontractor responses, and update bid calendars
- Upload project documents to the company’s website plan room
- Assist with bid bond and insurance review requests
- Prepare Bid Forms, RFQ and RFP documentation
Project Management Support
- Maintain and distribute project manuals, health & safety documents, and quality assurance materials
- Package and send subcontracts, purchase orders, change orders and other required documents via DocuSign
- Organize project files and archives
- Process and track contracts, subcontracts, and change orders
- Maintain subcontractor records and ensure compliance with insurance and tax documentation
- Assist with project closeouts and startups
Marketing & Business Development
- Update and produce marketing materials and brochures
- Maintain the company website with project updates and company news
- Prepare pre-qualification packages and PowerPoint presentations for project bids
- Coordinate employee headshots, press releases, and company announcements
Technology & Software
- Proficient in Microsoft Outlook, Excel, Word, PowerPoint, Social Media, Adobe Acrobat, WordPress & Publisher
- Experience with Contractor and AIA Contract Documents is a plus.
Qualifications & Skills:
- Experience: 3 years in administrative, marketing, or construction-related roles.
- Skills: Strong communication, organization, and problem-solving abilities.
- Tech: Proficiency in office software and document management.
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
Expected hours: 40 per week
