Job Objective: The HR Specialist & Finance Coordinator is responsible for managing both human resources and financial operations, ensuring accurate payroll processing, recruitment, and compliance with labor laws. This role also includes overseeing financial planning, budget monitoring, and cost reduction strategies, contributing to the company’s financial health and operational efficiency. Ensures seamless coordination between employees and management, supports business growth, and helps optimize resources to align with strategic goals.
Key Responsibilities:
1. Payroll & Financial Management.
- Process employee payroll, ensuring accuracy and compliance with tax regulations, while generating and distributing pay stubs, tracking and verifying hours worked, resolving discrepancies, handling termination and contract issues, and preparing FDR reports.
- Ensure timely payment of IRS obligations on a weekly basis.
- Manage certified payroll for government projects, ensuring compliance with applicable regulations.
- Handle child support deductions and payments.
- Develop and implement strategies for cost reduction.
- Administer and process employee bonuses.
- Prepare, send, and verify. Accounts Payable / Accounts Receivable.
- Review weekly expenses and submit an expense report.
- Assist in the preparation and monitoring of budgets.
- Prepare and submit payroll reports required by Texas Mutual, including those using NCIS codes.
- Coordinate with external accountants (CPA) on balance sheets and quarterly reports.
- Maintain and organize accounting files and documentation.
- Report earning vs. expenses after finishing a contract.
- Prepare quotations for future clients based on location and contact details.
- Insurance management.
- Coordinate any insurance required for cars and trucks.
2. Human Resources & Recruitment
- Recruit and ensure compliance by conducting interviews, performing background checks, coordinating drug tests, and gathering all necessary employee information.
- Prepare contracts and job specifications for new hires.
- Ensure an updated list of candidates with their bios is available to send to clients.
- Maintain and update the weekly active employee list.
- Prepare a monthly report of recruited versus hired candidates.
- Create and manage job posts on Facebook, indeed, Monster, and Craigslist to attract candidates when openings are available.
- Organize and maintain files for employees.
- Maintain ongoing communication with employees via WhatsApp.
- Respond to letters and hearings from the Texas Workforce Commission regarding unemployment.
- Manage employee lodging in hotels and apartments, ensuring accommodations are properly arranged while verifying that prices are appropriate for the quality provided.
3. Office & Administrative Support
- Oversee office management, including the maintenance of copy machines, phones, supplies, cleanliness, organization, and other necessary office equipment.
- Answer phone calls and manage inquiries.
- Handle purchasing of office supplies and other necessary items.
- Keep the office clean and organized.
4. Business Development & Marketing
- Research and identify new client opportunities.
- Create and manage job advertisements on social media platforms (Facebook, LinkedIn, Instagram).
- Capture photos and videos to provide the marketing team with content for ongoing campaigns.
- Edit videos when urgent content is needed for social media.
- Repost social media content to increase engagement and visibility.
- Organize and maintain files for clients.
- Assistant Participate in meetings of the Brownsville Chamber of Commerce and engage in networking and business development as needed.
