Job Title: Human Resources Information Systems Specialist (HRIS)

Job Summary:
The purpose of this position is to compile, evaluate, maintain and present human resource data/information related to an employees’ lifecycle and assist the Human Resource Department with meeting the human resource needs of the school district. Assists in the analysis and improvement of daily activities associated with various Human resources processes and programs. Maintains strict confidentiality with respect to information concerning students, personnel and other administrative matters affecting the district.

Duties/Responsibilities:
Manage and maintain Criterion Human Resource Information System (HRIS) and Frontline absence management, PAETEP and other new implemented databases and records by entering, updating, distributing, and retrieving employee information relative to an employee’s lifecycle. Record changes to an employee’s status (e.g., change of address, leave balances, transfers, rate increases, terminations, etc.) and forward to appropriate personnel through the onboarding, personnel action form and exit process.
Enter new hire profiles into the Time Clock Plus system (TCP).
Serves as Lead Time Administrator by managing the salaried bi-weekly time entry validation process which includes ensuring base time is entered for the workforce and submitted to Payroll. Receive, troubleshoot and resolve time entry questions/issues from time administrators, Principals, Supervisors, and any issues that impact pay from payroll as part of the validation process. Provide guidance and direction to timesheet approvers, Building Principals.
Manage the email request for inquiries and requests for assistance as it relates to the Employee Self Service Portal in the HR Criterion Platform.
Assist with creating the human resources agenda for monthly school board meetings using the Google Docs spreadsheet. Type, proofread, duplicate, collate and distribute the human resources section of the School Board agenda and provide all the necessary supporting documentation.
Perform data entry for current and projected salaries; calculate and verify salaries for salary increment levels for the payroll office.
Manage employee exit interview surveys.
Complete the monthly Life Insurance Bill with the support of the Benefits Secretary. Send invoice to Benefits Secretary who will create the purchase order for payment.
Participate in the planning, administration, and oversee new employee orientation program.
Ensure the proper utilization of electronic file management records system in TalentEd is maintained. Prepare and maintain employee files, contracts, and salary histories. Maintain efficient office systems. Maintain a filing system in proper order to ensure efficient information retrieval and confidentiality. Files include correspondence, records, contracts and other school district documents.
Coordinate substitute teacher services platform, Frontline Absence Management, to enter new staff and resignations. Compare to Building reports.
Provide support to the Director, Human Resource Services and other Administrators as directed.
Compile and analyze data and prepare and distribute reports, correspondence, special projects and related information in assessing needs of the school district.
Assist in the preparation of all Standard Operating Procedures.
Prepare and distribute reasonable assurance letters to support staff employees each year before the current school year ends.
Prepare employment information and verification of wage/salary inquiries. Respond to telephone or written requests for verifications of employment, completion of unemployment claims, and other requests for information. May be asked to attend unemployment hearings.
Prepare human resource related governmental statistical forms as directed.
Prepare payroll salary spreadsheets for new hires and resignations to ensure accuracy and provide to payroll. Provide wage adjustments for active employees not on a leave of absence to the business office on a bi-weekly basis. Create deduction memos to communicate wage adjustments to employees.
Perform other related duties as required and assigned.

Supervisory Responsibilities:

Required Education and Experience:
Bachelor’s degree required, Human Resources preferred.
Minimum of 3 years progressive experience in the field of human resources.
Minimum of 3 years’ hands-on experience working with HRIS or equivalent HR systems and applicant tracking systems.
Proficient in Microsoft Excel, Word, Outlook.
Preferred Skills:
Experience in Human Resources, Computer Science, or related field, 2-4 years’ experience in Human Resources or related field.
Thorough knowledge of Microsoft Office Suite or related software.
Must be detail oriented and have the ability to organize tasks without supervision.
SHRM-CP, HRCI-PHR preferred.
This is a Full-time, 12-month position in the Confidential Group.
