Background For 50 years, Southeast Kitchen & Bath (SKB) has been remodeling homes in the local area. We specialize in high-end interior remodeling.
Scope of the Bookkeeper/Administrative Assistant role We are looking for a driven, self-directed, motivated individual able to work in a fast-paced work environment. This position requires the knowledge of QuickBooks. The responsibilities are as follows:
A/P:
- Pay bills daily to subs, venders and suppliers.
- Reconcile vendor statements with invoices, credit memos and payments.
- Process employee payroll weekly (QuickBooks)
- Conduct check runs for approved invoices to maximize early pay discounts.
- Review, code and enter vendor invoices. Prepare/issue AP checks., Maintain accounts payable and other related files.
A/R & COLLECTIONS
- Post/Process payments (checks, credit cards)
- Enter customers info and payments into QuickBooks after a contract is signed.
- Monitor the accounts receivable list and identify overdue accounts.
- Align with project management on accuracy of invoices.
- Contact customers with statements and updates to maintain current balance/pending payment status. Notify customer of late/missed payments.
GENERAL ACCOUNTING & TAX
- Prepare/file state sales & use tax.
- Assist with new hire employee information and setting up direct deposits, etc.
- Prepare and enter various journal entries as needed (job startup, rentals expense, etc.)
- Reconcile vendor invoices and statements with purchase orders. Update QuickBooks with payments made.
- Support year-end tax preparation with supporting data and documentation
- Work with our accountant monthly to ensure QuickBooks is reconciled and up to date.
MISCELLANEOUS
- Stamp & Mail bills, invoices, etc.
- Assist with phone and in-person greetings of employee candidates, vendors, and other visitors.
- Assist with administrative duties for other departments as needed and perform similar and related duties.
Qualifications
- 5 years in general accounting, accounts payables/receivables roles
- Strong passion for positive Customer Experience improving business results without alienating the Company from Customers is essential.
- Strong negotiating, customer service, conflict resolution/de-escalation and stress management skills.
- Excellent verbal and written communication skills (receiving and transmitting).
- Strong organizational and analytical skills; attention to detail a must.
- Strong proficiencies in QuickBooks is required
- Excel and QuickBooks report building are desired.
- Experienced desired specifically with construction projects and capital improvements in NY, CT.

Pay: From $30.00 per hour
