Job Overview
We are seeking a detail-oriented and organized Office Assistant to support our team in daily administrative tasks. The ideal candidate will possess strong organizational skills and the ability to manage multiple responsibilities efficiently. This role is essential for ensuring smooth office operations and providing excellent support to both staff and patients.
Duties
- Answering phones and scheduling appointments for office visits, ultrasounds and surgery.
- Insurance verification. (We will train)
- Communicating with insurance carriers and maintain proficiency with their requirements.
- Communicating with patients regarding their accounts.
- Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date.
- Assist with filing and organizing documents, both physical and digital, to maintain an orderly office environment.
- Provide clerical support including creation, revision and update of protocols.
- Handling incoming communications via mail, e-mail and fax in-box.
- Reply to request for medical records.
- Serve as a medical receptionist when needed, greeting clients, answering inquiries, coordinating appointments and taking copays.
- Collaborate with team members to ensure all office operations run smoothly.
- Monday - Friday, no nights or weekends.
- Experience
- Previous experience in an office setting is preferred but not mandatory; experience as a personal assistant or in a receptionist role is a plus.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in data entry and familiarity with office software applications.
- Excellent communication skills, both written and verbal, with attention to detail.
- Ability to work independently as well as part of a team in a fast-paced environment.
