Job Description
Qualifications:
- Minimum of High School Diploma or equivalent required, advanced degree preferred.
- Minimum of two years of experience in customer service or business related field preferred.
- Strong aptitude for computer software, database management and overall technology concepts.
- Ability to use and understand the district’s student information system (Infinite Campus), Laserfische records system, and the district’s employee absence reporting system (AESOP).
- Ability to relate successfully with students, staff, families, and the community; and adhere to confidentiality in all situations.
- Knowledge of all applicable student records privacy laws Family Educational Rights and Privacy Act (FERPA).
- Ability to maintain accurate records, filing systems, and organize varied tasks effectively while paying close attention to detail.
- Effective oral and written communication skills.
- Ability to work independently and to complete responsibilities as scheduled.
- Basic understanding of accounting principles.
- Valid CPR certificate.
Reports to: High School Principal
Job Goal: This position will be responsible for the overall operation of the High School Registrar’s office. The performance responsibilities as shown below represent only the key areas of responsibility; specific position requirements will vary depending on the needs of the department.
Performance Responsibilities:
- Initiate requests for records for all new high school students and assist parents/guardians with registration process.
- Transfer new students’ records into Infinite Campus.
- Respond to and prepare student (or former student) requests for transcripts to be sent to designated schools or parties in a timely manner.
- Maintain daily maintenance of student records (i.e. cumulative student files, Infinite Campus)
- Assist administration with special education records (i.e. verifying status, obtaining IEPs, etc.)
- Assist administration with annual student registration (physical and on-line)
- Maintain control on access to student files to assure compliance with Family Educational Rights and Privacy Act (FERPA).
- Preparing student files for permanent storage.
- Respond to legal requests (i.e. court orders) for confidential information and/or verification of information.
- Create ad-hoc reports from Infinite Campus as requested.
- Communicate with building counseling/administrative staff regarding student enrollment changes.
- Assist administration with state reporting requirements.
- Perform other duties as assigned.
Physical Demands:
- Must be able to work with interruptions during a work shift.
- May be required to stand occasionally throughout the day or during school events.
- Must be capable of working with a diverse student population with different capabilities, and physical and mental limitations.
Evaluation: Performance of this job will be evaluated in accordance with provisions of Southeast Polk CSD Board Policy.
Terms of Employment:
1. Twelve month employment.
2. Eight (8) hours per day.
3. Salary as determined by District Administration.
