OVERALL DESCRIPTION
Under general supervision of Senior Director, Compensation / HRIS prepares and maintains bargaining unit employee files. Provides verification of employment for requests regarding mortgages, lost wages, credit cards, check cashing, and family court obligations. Archives and retrieves employment records from third party records storage service. Coordinates all third party records storage activities. Maintains a secure and confidential records management system.
SPECIFIC RESPONSIBILITIES
- Prepares and maintains all bargaining unit employee personnel files. Categorizes bargaining unit employee personnel files by division and pension status.
- Responsible for secure and manageable records retrieval system. Updates and reevaluates record keeping practices and procedures on semi-annual basis.
- Archives all personnel files for previous employees. Requests files from and returns files to third party record storage service as needed. Ensures accuracy of third party billing for archived file activities.
- Provides employee file lending services to internal departments on an as needed basis. Locates files archived in timely fashion. Audits archive vendor’s computer runs for accuracy and corrects incorrect information.
- Verifies employment for mortgage applications and produces earning reports for bargaining unit employees.
- Provides data on bargaining unit employees out of work due to incidents or accidents to insurers, attorneys, mortgagors, or other financial companies. Checks sick-cards, contacts the Workers’ Compensation Department and work locations to secure all needed data.
- Completes, forwards to appropriate parties and maintains files of all forms related to SEPTA’s “Voluntary Benefits” Programs for unionized employees.
- Provides written verification for bargaining unit employees for apartment rentals, credit cards, and check cashing. Provides employment information for bargaining unit employees for Family Court obligations.
- Reproduces bargaining unit employee personnel records for external attorneys and the Authority’s Legal Department in response to subpoenas.
- Locates current bargaining unit employees in case of emergencies.
- Utilizes a variety of mainframe applications and uses word processing software applications to generate correspondence.
- Complies with all Authority and departmental safety and security policies and procedures as well as all applicable job safety responsibilities. Reports any safety concerns, compromises or hazards affecting operations, the public, self and / or other employees. Responsible for personal safety and is encouraged to promote the safety of others.
- Performs miscellaneous clerical and filing duties as required and other duties as assigned.
