JOB TITLE: Drug and Alcohol Program Assistant - People Operations Assistant
DEPARTMENT: People Operations
REPORTS TO: DOT Manager and DER
Position Summary:
The DOT Drug & Alcohol Program Assistant will be responsible for any task assigned by the Designated Employer Representative (DER) and/or DOT Manager. Tasks include creating, sorting, filing, and organizing files for DOT/non-DOT records and data entry. This position requires a high degree of attention to detail and confidentiality. This is a part-time position that does not exceed 30 hours per week. The position is located in our Dallas Headquarters in Addison, TX.
Primary Responsibilities/Daily Activities:
- Assisting the DOT Manager/DER with the Drug and Alcohol Program duties, following the new hire (NH) and leave of absence (LOA) spreadsheets, including collecting Pre-Employment forms, sending and receiving 49 CFR Part 40 Release of Information forms, sending and tracking new hire, post accident/Incident, follow-up, and random drug tests, creating and maintaining DOT files, copying, sorting, and maintaining DOT and personal emails.
- Making entries on internal spreadsheets for tracking DOT/Non-DOT files, forms, etc.
- Making copies and scanning forms into OneDrive.
- Check DOT e-mails and update the new hire spreadsheet with Drug Results Pre-Employment forms.
- Tracking employee and supervisor training forms and keeping spreadsheets up to date.
- Track employee terminations and leave of absences (LOA) on Flightline and ADP Rosters.
- Run ADP reports and assist with HR related tasks assigned by DOT Manager and DER.

Qualifications:
Education:
- Associates degree or current college student studying HR or any business-related field.
Work Experience:
- Prefer at least two year of general office experience and/or data entry and filing experience, with computer and basic office phone skills
- Prior knowledge of DOT drug & alcohol program requirements or experience a plus.
Security:
This position requires a pre-employment drug test and Background Check.
Miscellaneous Requirements:
- Valid driver’s license.
- Ability to read, write and speak English effectively.
- Ability to work within a 24/7 operation including holidays.
- At least 18 years of age.
- Authorized to work in the U.S. per the Immigration Act of 1986.
