PURPOSE OF POSITION:
The overall primary function is to serve as the Church Administrative Assistant. This person reports directly to the Senior Pastor and/or designee.
QUALIFICATIONS:
- 1-3 years of administrative office experience
- Good technical skills, including proficiency in MS Office applications, etc.,
- Strong analytical and problem solving skills;
- Excellent interpersonal, communication, and customer service skills;
- Good attention to detail;
- Strong organizational skills;
- Thorough knowledge of modern office equipment, including multi-phone lines systems, fax, copiers, scanners, etc.
JOB DUTIES INCLUDE, BUT ARE NOT LIMITED TO:
- Tracks and maintains Pastor and Assistant Pastor schedules
- Maintains and organizes reception areas
- Orders inventory supplies and equipment
- Organizes and maintains an updated church calendar, coordinating events with LBC personnel, Ministries, Building Technician
- Retrieves, distributes and disseminates all mail and correspondence
- Maintains church email lists and distribute email messages and documents to appropriate personnel
- Prepares and prints all documents needed for Sunday worship, upcoming events, including bulletins, leader guides, and flyers, PowerPoint presentations, etc.
- Learn to use LBC database system to keep accurate membership records
- Assists with the preparation of Annual Reports
- Attends regular staff meetings and prepares agenda (if necessary)
- Routinely files paperwork and digital documents
- Notifies Pastor, Assistant Pastor and appropriate Staff of member hospitalizations, deaths, etc.
- Maintains and updates all standard forms, church brochures and ministry literature
- Organizes and maintains the centralized storage of all church documents such as session documents, ministry handbooks, Deacon handbooks, and Office Procedures and Reference manual
- Screens callers/visitors by ascertaining name, affiliation, and purpose of call/visit, and based upon subject matter, determines whether matter should be referred to the Pastor/Assistant Pastor or other appropriate staff members, or whether information can be supplied personally
- Check and answer email and phone calls within in a 24-hour notice
- Obtains needed background information before referring calls to supervisor, and uses independent judgment in referring, initiating, or disposing of inquiries and requests
- Acts as liaison to other church personnel and staff within the organization and provides accurate advice on procedures, reports, requirements, and other matters necessary to implement the supervisor's policies, directives, and instruction
- Receives and processes all correspondence and documents
- Ensures correspondence is in proper format and contains correct grammar
- Composes and types, in final form, official correspondence such as personal acknowledgments, etc., based on a knowledge of supervisor's views, desires, and past precedent cases; and from verbal instructions, prepares special reports, data, or correspondence using a wide variety of software
- Takes notes and transcribes personal and telephone conversations; records, transcribes, and edits the minutes of various meetings (staff meetings, etc.,) and follows up as required
- Exercises control over supervisor's appointments with complete authority for commitments of time; establishing priorities; setting up, rearranging, and when necessary, coordinating meetings with church officials
- Arranges schedules of visits and transportation, prepares travel orders, arranges hotel reservations, equipment requirements, notifies organizations and officials to be visited; and submits travel vouchers
- Performs other duties as assigned

Pay: $16.00 - $17.50 per hour
Expected hours: No more than 25 per week
