SPECIAL INSTRUCTIONS TO APPLICANT:
POSITION DESCRIPTION:
The OCA Box Office Specialist ensures hospitable, smooth, and efficient box office operations at the Oregon Center for the Arts, supporting SOU's Music and Theatre departments, Chamber Music Concerts, the Tutunov Piano Series, and external partner events utilizing OCA box office services. This customer-facing position requires excellent interpersonal skills and strong organizational abilities. The Specialist is responsible for programming and monitoring the ticketing system, tracking daily sales and deposits, managing ticket accounts, and supervising Box Office student staff. The Box Office Specialist reports to the OCA Production Manager and may be required to work flexible hours, including evenings and weekends.

Because the OCA box office is typically dark most of the summer, this is a renewable, seasonal position that will generally work September 1 through June 30. Some flex hours may be available during July and August for special events. Because the OCA is moving to a new box office ticketing system in May, this position will be offered a limited summer contract for July and August 2025, for training, data implementation, and system tests.

Minimum Requirements

Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
An Associate's degree in Office Occupations or Office Technology; OR
Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

Preferred Requirements

Experience in a box office role. Familiarity with ticketing software platforms; technical troubleshooting experience is a plus. Knowledge of PCI compliance standards.

Essential Functions

Duties - The following examples are typical work activities that are meant to illustrate the general range of work functions and are not meant to be all-inclusive or restrictive:

(100%) Duties Include

Supervise the box office for all OCA program performances and events, ensuring seamless customer service and operations.
Assist the OCA Production Manager with posting, interviewing, hiring, onboarding, and training of box office student staff.
Train, supervise, and evaluate box office student staff performance.
Schedule work shifts during regular box office hours and on evenings and weekends of performances requiring ticket sales.
Ensure PCI compliance for credit card transactions and implement best practices for secure payment processing.
Create and maintain waiting lists for sold-out performances and manage follow-up communications with patrons.
Communicate with House Managers regarding patrons with special needs who may require seating assistance.
Deliver concert programs and playbills to ushers before each performance.
Troubleshoot ticketing software and ticket printers in case of technical issues; coordinate with technical support as needed.
Manage and audit records of ticket sales, ensuring accuracy and compliance with financial procedures.
Prepare cash deposits and journal vouchers for all sales; generate detailed deposit reports using the ticketing software platform.
Authorize the issuing of SOU VIP comp tickets; manage and maintain the pre-approved VIP comp list, donation, and sponsor tickets.
Manage box office calls, email inquiries, ticket sales, and general customer service needs.
Check and restock box office supplies, such as forms, credit card machine tape, ticket stock, etc., on a regular basis.
Perform other duties as assigned to support box office and event operations.

Demonstrated customer service experience requiring a very high level of diplomacy and professionalism to effectively handle a broad range of sensitive interpersonal situations.
Demonstrated ability to interpret and consistently apply a wide variety of complex policies and procedures where specific guidelines may not always exist.
Expressed ability to work with frequent changes in policies and procedures, under pressure of deadlines in a fast-paced environment.
Demonstrated ability to proactively assess work operations and anticipate potential problems; ability to develop and implement strategies for preventing/resolving problems.

Excellent organizational and time management skills with the demonstrated ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
Excellent computer skills and proficiency with a variety of computer applications including word processing, spreadsheets, databases, online systems, social media platforms, Internet as well as online calendaring and email.
Demonstrated ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
Willingness to and work effectively in a heavily bureaucratic environment which requires regular interaction with a number of levels within the organization and multiple outside agencies.
Working knowledge or ability to quickly learn, university infrastructure, policies, and procedures.
Demonstrated ability to provide training and direction to student assistants.
Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

Special Conditions

Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
Must be able to successfully pass a pre-employment background check.
This position classification has been defined as non-exempt and is subject to the overtime provisions of the Fair Labor Standards Act (FLSA).
The person holding this position is considered a mandatory reporter under the Oregon Revised Statutes and is required to comply with the requirements set forth by the Oregon Department of Human Services.
Flexibility to work evenings, weekends, and holidays as needed.
