Key Responsibilities
Work Closely with Leadership:
- Serve as a point of contact and trusted support to the leadership team.
- Assist with company-wide administrative tasks, reporting, scheduling, and strategic coordination.
- Provide timely updates and insights on office functions, finances, and customer communications.
- Manage daily AR/AP transactions using QuickBooks.
- Reconcile invoices, process payments, and handle deposits.
- Generate customer invoices and assist with collections and payment follow-ups.
- Track and maintain financial records for accuracy and audit readiness.
- Oversee payroll processing, ensuring employees are paid accurately and on time.
- Assist in managing employee benefits (as applicable), including enrollments and communication with providers.
- Maintain confidential personnel records, including hiring documents, driver information, and training records.
- Support onboarding and offboarding processes for employees and drivers.
Office Operations & Supplies:
- Oversee the day-to-day operations of the office, ensuring it runs efficiently.
- Order, track, and manage office and field supplies, equipment, and materials.
- Maintain a clean, organized, and well-stocked workspace.
- Coordinate annual insurance renewals and provide documentation for audits.
- Handle Certificate of Insurance (COI) requests and ensure compliance.
- Manage the onboarding process for new drivers, including documentation and license verification.
- Maintain up-to-date records on vehicle insurance, driver files, and renewals.
- Monitor and respond to general office emails in a timely and professional manner.
- Assist with returning customer calls and routing messages appropriately.
- Support customer service efforts by ensuring messages and requests are followed up on efficiently.
- Maintain digital and paper filing systems for easy access and compliance.
- Assist leadership and field teams with administrative needs such as data entry, document preparation, and scheduling.
- Provide backup support to the bookkeeper and other administrative staff as needed.
- Experience: 2–3 years of office management, administrative, or bookkeeping experience (construction industry experience a plus).
- Bookkeeping & Payroll: Proficiency in QuickBooks and experience managing payroll and employee records.
- Communication: Strong verbal and written communication skills.
- Organization: Excellent time management, organization, and multitasking abilities.
- Tech Savvy: Comfortable using office software (Microsoft Office, email platforms, and cloud storage tools).
- Attention to Detail: High level of accuracy and follow-through in all tasks.
- Customer Service Oriented: Friendly, responsive, and professional when working with customers or vendors.
- Team-Oriented: Comfortable collaborating closely with owners, managers, and field staff.
- Valid driver’s license
- Ability to work on-site at our Southern Utah office
