About the role
The Records Specialist - Dental ensures the accurate entry and efficient flow of patient information within the electronic medical record (EMR) system. This position is critical to maintaining organized and confidential records while supporting seamless patient care.
What you"ll do
- Coordinate dental record flow, including pulling and filing patient records for appointments, case management, laboratory / x-ray results, and audits.
- Prepare patient charts 24-48 hours in advance of scheduled appointments and for urgent or walk-in visits.
- Ensure timely dictation turnaround (48 hours or less) and review records on the day of arrival.
- Audit dental records to ensure completeness, including reports, dictations, and provider entries.
- Back-up and support for dental referrals workflow, including mailing or faxing records for external appointments.
- Copy patient information and forward to the requesting party with proper consent for releasing protected health information.
- Assist receptionists by answering telephones and providing full coverage as needed during breaks, lunch, or absences.
- Maintain files and records confidentially.
- Merge duplicate patient records in the Dentrix system.
- Attend and participate in staff meetings and committees.
- Assist with the care and maintenance of department equipment and supplies.
- Perform additional duties and responsibilities as assigned.
