Summary
This high-profile front desk position is the person who provides Southview’s first impression for clients and guests. We are looking for a friendly, conscientious individual who is reliable and catches on quickly.Responsibilities
Typical job responsibilities include, but are not limited to:
- Answer incoming calls and route to appropriate associate.
- Responsible for New Lead calls and processing through system.
- Welcome clients and visitors to the office and assist as needed.
- Provide administrative support for all business units, including data entry, typing correspondence, report generation, and filing.
- Sort and dispense incoming mail, emails and faxes. Prepare and coordinate outgoing packages.
- Maintain relationship with office vendors and service providers.
- Responsible for inventory of office supplies and ordering replacements as needed.
- Assisting with organizing company events, meetings, travel and conferences.
- Takes ownership of office common areas; ensuring they are always in excellent shape and coordinates repairs and maintenance as necessary.
- May assist Marketing with client mailings, social media postings, or other strategies as needed.
- Other duties as assigned.
Education
High school diploma or equivalent required. Formal post-high school education is preferred.
Experience
Minimum of 2 years of administrative related. Strong written and verbal communication skills. Proficient in MS Office. Time management, creative problem solving, organization, and customer service skills/experience required. Spanish speaker a plus.
Other
Physical Demands: Position is primarily administrative in nature with extended periods of sitting.Should be able to lift under 20 lbs.
Work Environment: Primarily inside a temperature-controlled office building. Occasional exposure to exterior elements (i.e., pollen, chemicals, cold and heat etc.).May require light travel within the Twin Cities Metro Area will primarily report to Mendota Heights office.
