BDC is designed to increase revenue for Parts and Services through the support of scheduling Check-Ins and guide the customer of needs requested. Coordinator plays one of the most important roles in which first communication with the customer may be the start of a relationship between the dealership and the customer.
The assignment of the scheduling coordinator is to take incoming calls for all dealership service needs. Also make outbound efforts to existing customers. Also reach new opportunities for future customers.
The coordinator handles many types of calls including the use of scripts for each call type. Coordinator must be efficient and have excellent customer service skills. Must be able to multi-task with various operating systems at one time. Must be able to speak clearly and engage with the customer in most situations that occur.
There are many multi tasks operations of the coordinators role that must have the upmost accuracy and importance. One of the main tasks is to record the call properly in the scheduling system (xtime). Must be able to document and retain all information from the customer as well as the vehicle service needs. This process is to be recorded on a Monthly call log. Must be a team player and work with others in your group. Must be able to communicate with service advisors and associates. Teams, email, and phone Ext. are the keyways to communicate with service members.
Must be able to manage your time with the customer and remain on track and productive. Must be able to conduct and have a professional mindset. Must be able to work the entire shift assigned.
  • Make or take the call (use call queue to prepare yourself)
  • Address the customer (welcome to dealer greeting, ask the customer’s name)
  • Get the customer concern (ask questions and listen to the client)
  • Direct the customer thru check-in or department- personnel (guide the caller)
  • Record the call or Check-in (monthly call log and xtime)
