Position Summary
The Business Office Manager will provide comprehensive administrative support to the organization's Leadership Team, ensuring seamless business operations and furthering the organization’s goals. This role requires a self-motivated, professional individual with exceptional organizational skills, discretion, and the ability to work independently while exercising sound judgment.
As a highly visible position, the Business Office Manager must exhibit a positive attitude, high energy, and a strong commitment to "World-Class Customer Service." The role involves managing day-to-day office operations, providing project management support, coordinating meetings and events, and maintaining administrative systems.
Detailed Responsibilities
Administrative Support
- Provide executive-level administrative assistance, including scheduling, calendaring, and preparation for meetings.
- Manage written and verbal correspondence with internal and external stakeholders.
- Format reports and presentations with a focus on accuracy, aesthetics, and timeliness.
- Maintain confidential files and manage document distribution systems, including contracts and legal documents.
Project Management
Track and monitor progress on strategic initiatives and organizational projects.Gather data from internal departments and external sources to support project planning and execution.Coordinate internal communications.Office Operations
Oversee the organization’s reception area, greeting and directing visitors while maintaining a welcoming environment.Manage administrative vendor contracts, coordinate maintenance requests, and oversee the upkeep of office facilities.Sort and distribute incoming and outgoing mail, including certified and subpoena requests.Event Coordination
Organize internal and external meetings and events, including scheduling, attendee notifications, catering, and material preparation.Arrange travel for executives and staff, ensuring cost-effectiveness and efficiency.Other Duties
