What are the responsibilities and job description for the Accounts Receivable Specialist position at Southwestern Child Development Commission?
Position Overview
Insuring accuracy and efficiency of operations, processing and monitoring incoming payments in compliance with financial policies and procedures. Preform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivable data. Responsible for preparing bank deposits and reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted. Generate financial reports detailing accounts receivable status.
Duties/Responsibilities:
Process Payments: Ensure payments are processed according to the Agencies Policy and Procedures Manual
Preparing Deposits:
o Gather and verify invoices for appropriate documentation
o Preparation of daily deposit
o Record Deposits into Financial System
Manage Accounts Receivable Vendor Accounts
Monitoring Invoicing: Monitoring invoice procedures and ensure that deadlines are being met
Accounts Receivable Tracking: Maintain a daily list of all outstanding invoices
Communicating with Vendors: Contact vendors by phone, email, or mail to ensure outstanding invoices are paid
Maintaining Records: Keeping accurate records of all incoming payments and invoices
Reconciling Payments: Checking for discrepancies in payments received and notifying Executive Leadership of the discrepancies
Assist in Preparing Financial Statement:
o Prepare Confirmation Letter’s
Maintain backup documentation for each confirmation letter
Track payments by vendor according to auditors requirements
o Outstanding Accounts Receivable
Support other Finance Department Staff as needed by preforming other duties assigned by the Chief Financial Officer
Compare Bank Statements to accounts receivable ledger and other financial documents to ensure accuracy
Bank Reconciliation’s for agency bank accounts (does not include the general operating account)
Preparation of monthly in-house Financial Status Reports
Oversee the preparation of journal entries and ensure accuracy in financial reporting
Provide revenue information for Census
May be asked to complete special projects as assigned by Chief Financial Officer
Education and Experience:
Applied Associates degree in Accounting, information technologies or related field. AA out of field is also acceptable with some level of experience
May be asked to attend trainings, conferences and continue education as written in a Professional Development Plan
Experience may be substituted for, or combined with, education
Technical Skills:
Advanced Excel skills, including the use of formulas
Ability to focus on multiple tasks simultaneously
Detailed-Oriented
Strong understanding of basic accounting principles and practices
Knowledge of billing and collections process
Strong problem-solving skills and attention to detail
Organizational skills
Ability to meet deadlines in a fast-paced environment
Ability to prioritize and manage time effectively
Ability to identify potential issues and have solutions ready
Demonstrated experience using One Drive, SharePoint, Microsoft Office Products including but not limited to Word, Excel and PowerPoint
Ability to operate a 10-key calculator
Well-developed team skills
