The Medical Office Manager is accountable for executing and supervising the administrative tasks of the office. This role requires ensuring that patients are provided with compassionate care in alignment with company values, while also maintaining operational efficiency.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Oversee the clinic’s administrative functions of the clinic to budgeted and planned outcomes.
Develop, monitor, and generate reports on key performance indicators for clinic metrics.
Establish collaborative partnerships, linkage and support agreements, and other critical relationships to enhance census growth and comply with regulatory requirements.
Maintain policy and procedure and clinic operations manuals.
Facilitate clinical case review discussions encompassing services required, level of care, clinical caseload assignments, and patient-centered treatment decisions.
Proactively schedule patient appointments in a manner that maximizes the clinic’s productivity.
Address patient non-compliance as needed.
Review patient insurance coverage, interpret and explain patient financial responsibility, establish payment plans, and collect payments as required.
Maintain medical and office supply inventory. Order new supplies as needed.
Engage in community outreach initiatives and political activities to maintain the company's connection with relevant treatment providers.
Assist with marketing programs & literature development.
REQUIRED QUALIFICATIONS:
Extensive experience in the treatment and care of patients who have mental health, substance abuse or trauma related issues.
Bachelors’ degree in business administration or related field is preferred.
Proficient in the use of Microsoft Teams, Word, Excel, Outlook, and other Microsoft applications.
Must have CPR and First Aid Certification.
Must have a valid driver’s license and maintain automobile insurance.
ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:
At least 5 years experience in substance use, mental health, or a related field is preferred.
Prior supervisory experience is preferred.
Must be self-motivated and able to work autonomously and generate ideas and benefits for the Company.
Understanding of HIPAA, OMHAS, and CARF standards & regulations
Customer service focused, eager and energetic.
Excellent interpersonal and communication skills
