Position Summary
We are seeking a highly organized and detail-oriented behavioral health Office Manager – Scheduling & Billing Coordinator to oversee the efficient operation of our clinic, with a strong emphasis on appointment scheduling and insurance billing. This role is essential in ensuring smooth administrative processes, optimizing provider schedules, and maximizing clinic utilization. The ideal candidate will be proactive, customer-focused, and experienced in healthcare administration, scheduling, and insurance coordination.
Key Responsibilities
- Oversee daily office operations to ensure efficiency and effectiveness in all administrative functions.
- Manage and optimize scheduling to ensure strong appointment utilization and minimal gaps.
- Partner with Practice Synergy to enhance insurance billing processes and credentialing efficiency.
- Utilize Electronic Health Records (EHR) systems for client scheduling, documentation, and tracking.
- Coordinate and schedule follow-up appointments for clinicians and physicians, ensuring timely communication with clients.
- Assist in client insurance intakes, verifying benefits, and maintaining accurate records.
- Address patient inquiries related to scheduling, billing, and insurance claims.
- Support provider credentialing processes and maintain CAQH profiles.
- Generate reports on appointment trends and assist in optimizing clinic performance.
- Maintain office documentation using Microsoft Excel, Word, and PDF formats.
- Supervise administrative staff and provide training as needed.
- Collaborate with the clinical and administrative team to improve workflow efficiency.
- Engage with community stakeholders and represent the clinic in a professional manner.
- Support additional administrative duties as needed.
Qualifications
- Proven ability to develop job descriptions, recruit staff, and maintain HR and credentialing files.
- Strong organizational and multitasking skills with keen attention to detail.
- Proven experience in medical office management, scheduling, and billing.
- Familiarity with insurance billing, credentialing, and working with third-party billing companies.
- Proficiency in Electronic Health Records (EHR) systems.
