The Purchasing Coordinator will be responsible for providing logistical support to the Procurement Manager. This position requires collaboration with Sales, R&D, QC, Receiving, Production, and other relevant departments, and is a 100% on site, full-time position.

Essential Job Duties:

  • Create and issue purchase orders according to proper policies and procedures
  • Communicate with vendors regarding PO delays; Track orders to ensure timely delivery
  • Update internal databases with order details
  • Prepare reports for relevant internal departments:
  • Generate daily production report by keeping track of pending orders and updating ETAs
  • Provide Expected Delivery Reports to Receiving Department
  • Print out and maintain Purchasing Log daily and provide to Production
  • Communicate with Receiving Department to identify order discrepancies and ensure all products arrive in good condition
  • Ensure all paperwork arrives with orders. Scan copies and file away accordingly
  • Maintain digital and physical organization of Organic item files and vendor files
  • Support production with inventory management
  • Place miscellaneous orders for office and lab supplies
  • Covers for Procurement Manager when unavailable or on business trips
  • Attend trade shows to network with industry vendors and become more familiar with the industry
  • Assist R&D with ordering samples from existing and new vendors
  • Assist Procurement Manager with raw material sourcing
  • Work with the Procurement Manager to complete special projects or tasks as needed

Working Conditions:

This position operates in a professional office environment. Standard office equipment such as computers, phones, photocopies, filing cabinets, and fax machines are routinely used in this role.

Physical Requirements:

  • Hearing: able to listen and speak to exchange information in person or by telephone
  • Read: able to read and understand a variety of documents and printed materials
  • Repetitive Motion: frequent use of hands and fingers to operate office equipment
  • Physical: frequent sitting for extended periods of time
  • Physical: frequent bending at the waist and knees, reaching above the shoulders to retrieve or store documents, pushing/pulling and lifting up to 10 lbs.

Preferred Education and Experience:

  • High School Diploma or equivalent AND Two years of purchasing experience
  • Preferred experience in a similar position for a manufacturing facility
  • Proficient in Microsoft Office programs, and general computer operations
  • Experience using purchasing modules of an ERP/MRP system
  • Mathematical skills: able to add, subtract, multiply, and divide
