Key Responsibilities:
Order Processing & Management:
- Order Entry & Approval: Oversee order entry, approval, and processing, ensuring accuracy and efficiency.
- Customer & Sales Coordination: Collaborate with sales and customer service teams to ensure seamless order fulfillment.
- Order Tracking & Troubleshooting: Monitor order status, address delays, and resolve discrepancies promptly.
- Policy & Compliance Management: Ensure adherence to company policies, pricing structures, and customer requirements.
- EDI Management: Manage and troubleshoot Electronic Data Interchange (EDI) processes to ensure seamless data exchange between internal systems and external partners.
- Import Management: Handle international container shipments from China, Myanmar and Vietnam, ensuring compliance with customs regulations and accurate documentation.
- Domestic Shipping & Freight Coordination: Manage domestic shipments to our customers, including LTL (Less Than Truckload) and parcel shipments, ensuring timely and cost-effective deliveries.
- Carrier & Vendor Coordination: Liaise with freight carriers, third-party logistics providers, and warehouse teams to optimize shipping processes.
- Inventory & Stock Management: Coordinate stock movement, monitor inventory levels, and resolve any supply chain discrepancies.
- Operational Reporting & Data Analysis: Generate and analyze operational reports using Microsoft Excel (e.g., Pivot Tables, VLOOKUPs, Power BI, analytical graphs) and NetSuite ERP to track shipping performance, order accuracy, logistics costs, and inventory levels.
- Workflow Optimization: Identify areas for process improvement in order fulfillment and logistics operations.
- Cross-Department Collaboration: Work with internal teams to enhance supply chain efficiency and minimize operational risks.
- Team Leadership & Development: Lead and mentor the teams responsible for both logistics and sales operations, fostering collaboration and ensuring department goals are met.
- Issue Resolution & Risk Mitigation: Proactively address and resolve logistical and operational challenges to minimize disruptions.
- 5 years of experience in operations, logistics, order processing within a distribution, wholesale, and e-commerce environment.
- Strong knowledge of import procedures, domestic shipping, LTL/parcel logistics, and order management systems.
- ERP Proficiency: Demonstrated experience with NetSuite or similar ERP is required.
- Software Knowledge: Familiarity with ShipStation shipping software is a plus.
- Proficiency in Microsoft Excel and Power BI.
- Excellent problem-solving skills with the ability to handle multiple priorities in a fast-paced setting.
- Strong attention to detail and ability to analyze and improve operational workflows.
- Effective communication and leadership skills to collaborate across departments.
- Experience working with freight carriers, customs brokers, and warehouse operations is a plus.
