Key Responsibilities:
Credit Card Program Management:
- Administer the corporate credit card program using Concur, including issuing/canceling cards, monitoring spending, and ensuring timely expense report submissions with accurate documentation and coding.
- Accurately upload credit card transactions into the accounting system.
Lodging Management:
- Coordinate and manage hotel reservations and payments through CLC, resolving issues for field crews and liaising with customer service.
- Process and enter weekly lodging invoices into the accounting system, obtaining necessary project manager approvals.
Compliance and Reporting:
- Prepare and file annual gross receipt filings and annual reports.
- Maintain and update company licenses and permits, researching new project location licensing requirements.
Data Management:
- Accurately enter new jobs and job budgets into the accounting system.
- Maintain confidentiality of sensitive financial information.
- Support and Communication:
- Respond efficiently to inquiries and requests for information from field and office staff.
- Assist with other accounting and administrative tasks as needed.
Qualifications:
- Minimum of 3 years of experience in bookkeeping, accounting support, or administrative roles within an accounting team.
- Proficiency in Microsoft Office Suite, particularly Excel and Word.
- Strong working knowledge of general office equipment and software.
- Experience in the construction industry is a plus.
- Strong organizational and time management skills.
