What are the responsibilities and job description for the Terminal Operations Clerk position at Spartan Carrier Group?
We are seeking a detail-oriented and proactive Operations Clerk to support the day-to-day activities of our transportation operations. This role plays a critical part in ensuring smooth dispatch and driver coordination, maintaining process integrity, and handling administrative tasks to keep operations running efficiently. The ideal candidate is organized, communicative, and thrives in a fast-paced logistics environment.
Key Responsibilities:
Driver Support & Coordination
- Assist with daily driver check-ins, dispatch, and route updates
- Maintain accurate records of driver hours, availability, and assignments
- Ensure all drivers are compliant with DOT regulations and internal policies
- Communicate pickup/drop-off instructions and address driver inquiries
- Track driver performance and escalate issues as needed
Process & Operations Management
- Support the execution of standard operating procedures (SOPs) related to transportation and yard workflows
- Monitor inbound/outbound shipment schedules and update TMS system accordingly
- Help ensure on-time deliveries and identify bottlenecks in real-time operations
- Collaborate with operations leads and our Operations Management Center to maintain load accuracy and scheduling integrity
Administrative & Reporting Duties
- Maintain and file shipment documentation, BOLs, driver logs, and compliance forms
- Prepare daily, weekly, and monthly reports related to KPIs, on-time performance, and driver metrics
- Assist with data entry into the TMS, or company databases
Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s in Logistics, Business, or related field is a plus)
- 1–2 years of experience in transportation, logistics, or administrative operations
- Strong organizational and time management skills
- Proficiency in MS Office (Excel, Word, Outlook); experience with TMS or dispatching software is a plus
- Excellent communication skills – both verbal and written
- Ability to multi-task and work under pressure in a fast-paced environment
Working Conditions:
- Office-based with regular interaction with drivers, dispatch teams
- Work schedule will be 5 days per week with rotational Sunday work
