POSITION: Payroll Coordinator - 2025-2026
QUALIFICATIONS:
- Bachelor's degree in Accounting, Business Administration, Human Resources, or five to eight years payroll experience required.
- Three to five years of payroll experience required.
REPORTS TO: Director of Finance
GENERAL SUMMARY:
The Payroll Coordinator will oversee the organization's payroll functions, ensuring pay is processed on time, accurately, and in compliance with government regulations.
PERFORMANCE RESPONSIBILITIES:
- Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Partners with team members to identify and implement efficiencies within the payroll systems, procedures, and processes.
- Ensures accurate and timely processing of payroll updates including new hires, terminations, deductions and withholdings, and changes to pay rates.
- Enters, maintains, and/or processes information in the payroll system; information may include employees’ hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
- Prepares and maintains accurate records and reports of payroll transactions.
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Prepares and submits or issues monthly, quarterly, and annual reports as required by federal and state regulations.
- Facilitates audits by providing records and documentation to auditors. Provides reports and documentation for FOIA requests.
- Records and processes federal and state payroll tax deposits.
- Performs other duties as assigned.
REQUIRED SKILLS/ABILITIES
- Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
- Excellent organizational skills and attention to detail.
- Strong analytical and problem-solving skills.
- Proficient with Microsoft Office Suite or related software.
- Proficient with payroll software.
WORKING CONDITIONS:
Office environment with no exposure to environmental conditions. Physical demands are restricted to general office activities requiring movement. lifting items weighing up to 25 pounds. No travel required. Requires ability to work under a degree of stress related to duties that require constant attention and meeting tight deadlines.
