What are the responsibilities and job description for the Administrative Services Support position at SpawGlass?
As our Administrative Services Support, you will manage weekly expense reports, assist the Building Services Coordinator with proposals, approve vendor invoices, set up projects in our construction software, process and ship orders, and negotiate pricing and manage vendor relationships. Every day we’ll rely on you to ensure the accuracy and timeliness of administrative tasks, maintain strong vendor relationships, and support the efficient operation of both Building Services and SpawGlass Equipment and Supply. To thrive in this role, you should possess excellent organizational and multitasking skills, strong communication abilities, and experience with administrative support.
\n- Manage the completion and submission of weekly expense reports for Building Services
- Support the Building Services Coordinator in preparing and submitting proposals
- Act as the first line in the vendor invoice approval workflow
- Complete the initial project setup in our construction software (CMiC)
- Aid in creating and sustaining vendor relationships, while aiming to obtain more favorable pricing
- Take the lead on the processing and shipping of orders for SpawGlass Equipment and Supply
- You have previous experience in an administrative support role
- Proficiency in Microsoft Office Suite and experience with project management software is considered a plus
- Meticulous attention to detail to ensure precision in expense reports, proposals and invoice approvals
