We are currently seeking a detail-oriented and organized Office Coordinator to support our practice and ensure smooth daily operations.
Job Responsibilities:
- Greet clients warmly and create a welcoming atmosphere.
- Answer phone calls, text messages, schedule appointments, and manage the practice’s calendar.
- Handle client intake paperwork and maintain accurate records.
- Process insurance verifications, billing, and payments.
- Facilitate insurance credentialing for new providers when needed. Experience with credentialing not necessary but a plus.
- Maintain confidentiality and compliance with HIPAA regulations.
- Assist therapists with administrative tasks, including document management.
- Manage emails and correspondence with clients and third-party providers.
- Order office supplies, do light office cleaning such as taking out trash, vacuuming and mopping, replenishing bathroom supplies, and ensure a well-organized workspace.
- Support marketing efforts such as social media updates and website maintenance, if needed.
Qualifications:
- Previous experience in an administrative role, preferably in a healthcare or mental health setting.
- Strong organizational skills with attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office, Google Suite, and scheduling software.
- Ability to handle sensitive information with professionalism and discretion.
- Friendly, empathetic, and patient demeanor when interacting with clients.
- Knowledge of insurance billing and HIPAA compliance is a plus.
