Summary
Under the direction of the Housing Department Manager, the Housing Supervisor will provide supervision of property management and provide direct supervision to Property Coordinators and Maintenance Personnel.
Essential Functions
- Facilitate monthly staff meetings and one on one supervision with staff.
- Provide coaching and training to direct reports.
- Review and Approve leave requests and timecards.
- Develop a team based on strengths and ensure support is provided where needed.
- Collect weekly productivity reports, weekly staff reports and phone logs on a regular basis.
- Work collaboratively with Homeless and Housing staff to ensure permanent housing placement goals meet performance targets.
- Create systems and procedures for the on-going review of files and properties to ensure contract compliance and landlord responsibilities.
- Maintain an up-to-date comprehensive master lease landlord contact portfolio inclusive of various data points such as email, phone number, addresses, and landlord operational items relating to rental payments, communication.
- Point of Contact for landlords.
- Ensure the Master leased/owned properties meet habitable standards.
- Analyze data (AppFolio) and provide reports on a weekly, monthly, quarterly, and annual basis.
- Monitor and ensure all financial charges and receivables are entered into AppFolio within a 24-hour period.
- Monthly reconciliation of payments received.
- Ensure timely preparation of the financial assistance rent roll monthly.
- Prepare a monthly report for the Associate Director.
- Coordinate delivery notices to be served.
- Attend monthly meetings at various property locations.
- Review, verify and ensure HMIS data and that case notes are entered within 24 hours.
- Ensure weekly review of client files takes place.
- Maintain files/records on client services in compliance with HIPAA, 42 CFR Part 2 and other funding requirements for audit purposes.
- Responsible for the coordination of move-tasks such as lease signing, utilities, property walk through, ordering furniture, scheduling services, and security.
- Coordinating, when necessary, the eviction process.
- Oversee contracts for maintenance, trash removal, landscaping, security, and other ongoing services and managing disputes with these service providers where appropriate.
- Arrange for utility, water, sewer, trash and other services to be opened in the name of the agency, SSG HOPICS.
- Prepare financial assistance request reports monthly and send it to the Associate Director.
- Provide weekly updates and reports to Housing Department Manager
- Attend the monthly Manager’s meeting on a regular basis.
- Attend all mandatory program and division meetings and training.
- Work collaboratively with SSG’s fiscal department.
- Must utilize processors, create spreadsheets, database applications and conduct internet research as necessary.
- Coordination with the SPA 6 CES providers.
- Assist with preparation project reports in accordance with funding requirements.
- Maintain appropriate boundaries; and adhere to SSG’s Code of Ethics and HOPICS Core Values.
- Represent the Agency in a professional manner at meetings and community events.
- Regular attendance required.
- Other duties as needed.
- Perform other duties as assigned by the Housing Department Manager, Associate Director of Property Management and Development, Deputy Director and Division Director. Overtime, holiday and weekend work may be required.
Minimum Qualifications - Knowledge, Skills and Abilities Required
- Bachelor’s Degree from an accredited college or university or five (5) years of property management experience/knowledge and five (5) years of management experience.
- Basic knowledge of Microsoft Word, Excel, AppFolio or Yardi and Internet.
- If in recovery, a minimum of three (3) years of being drug and alcohol free is required.
- Knowledge of basic filling structure, ability to organize and manage multiple priorities. Ability to do concise documentation and effectively communicate in written and verbal form.
- Experience working with homeless families and the ability to work with clients from diverse cultures, ethnic and socio-economic backgrounds.
- Neat and professional appearance. Attention to detail and punctuality are required.
- Must have reliable transportation, California Driver’s License and Automobile Insurance.
Supervisory Responsibilities
- This position requires supervision of all project related staff. The Manager of Property Management will supervise the Property Coordinators and Maintenance Personnel.
Environmental Conditions (Working Conditions)
- May be exposed to highly aggressive clients: must communicate with many sources including public paying agencies, courts and outside community agencies. Some evenings and weekends may be required. Sometimes noisy, loud and disruptive clients.
Physical Requirements
- The Landlord Relations and Engagement Manager staff typically spends time sitting, standing, bending, climbing, walking, carrying (max .25lbs), listening, speaking, and typing.
Mental Requirements
- This position will require the individual to be able to handle any/all the following: constant distractions, interruptions, uncontrollable changes in priorities/work schedules: to be able to process information, think and conceptualize.
