Summary
The Security Supervisor, guided by the SSG Division Director, Associate Director of Operations, and/or Program Manager, is tasked with overseeing a team of 10 to 25 Security Officers and Lot Monitor personnel. This role encompasses various administrative responsibilities, including the approval of Paycom timecards, scheduling, providing verbal coaching, administering disciplinary measures, and conducting performance evaluations. In addition to these duties, the Security Supervisor plays a key role in the ongoing training of staff, coordinates client flow, and ensures the security and safety of staff, clients, and visitors. Responsibilities also include making recommendations regarding the hiring of new personnel, as well as terminations when necessary. The Security Supervisor is responsible for managing security needs, developing relationships with local law enforcement, and engaging in crisis management within the office. Documentation of incidents, whether verbally or in writing, is also part of the role. Additional tasks may be assigned by the Program Director or Program Manager as needed.
Essential Functions
- The Supervisor will be responsible for executing administrative duties.
- The Supervisor ensures the protection and defense of Personnel such as clients, visitors and staff that safeguard the property of SSG/HOPICS.
- The Supervisor shall address disciplinary issues, emergencies, medical emergencies, and requests for assistance involving residents, clients, and fellow staff members calmly and reasonably while accurately documenting the details of the incidents.
- The Supervisor shall show an essential, comprehensive and robust understanding of all assigned security positions and their relevance to the program's requirements and the organization's objectives.
- The Supervisor shall ensure an appropriate response in an emergency, it is essential to possess comprehensive knowledge of all emergency policies, critical incidents, and procedures.
- Supervisors must cultivate effective communication and foster positive working relationships with all security personnel, Lot Monitors, staff members, and community partners.
- The supervisor shall ensure adequate security coverage at each site and verify that all safety equipment, including badge readers and security apparatus, is fully operational.
- The Supervisor shall ensure that all meal provisions are supplied for security officers assigned to their respective shifts or that employees receive their Compensation Meal Plan (CMP).
- The Supervisor shall ensure adherence to relevant policies and procedures while executing security measures.
- The Supervisor shall discipline in discussions and attendance concerns with security officers be documented and that appropriate disciplinary actions are initiated when necessary.
- The Supervisor shall implement and execute corrective measures corresponding to any violations in accordance with the SSG/HOPICS Policy and Codes.
- The Supervisor shall serve as a troubleshooter for any issues that may arise during their assigned shift.
- The Supervisor shall be responsible for reviewing Daily Activity Reports and Incident Reports submitted by security officers prior to their evaluation by the Program Manager or Associate Director of Operations.
- The Supervisor role will involve assisting in developing and implementing preventative measures to mitigate risks associated with accidents, theft, and other potential hazards.
- The Supervisor shall also conduct routine and random site checks, as well as accompany new security personnel on patrols throughout their designated shift.
- The Supervisor shall ensure that security personnel, staff, and clients consistently adhere to COVID-19 safety protocols.
- The Supervisor shall lead regular safety drills and provide comprehensive training for security personnel and staff. Responsibilities also include evaluating, assessing, and analyzing security personnel's performance.
- The Supervisor has to ensure that security staff receive training on appropriate responses to burglar alarms and properly utilize CCTV equipment.
- The Supervisor shall Conduct random patrols of all HOPICS sites and properties to ensure the safety and security of staff throughout each shift.
- The Supervisor should Receive surveillance footage upon request from the Division Director, Associate Director of Operations, or Program Management.
- The Supervisor shall oversee the completion of introductory, six-month, and annual evaluations for all assigned personnel.
- The Supervisor must Prepare weekly reports detailing observations, suggestions, concerns, training initiatives, and project updates and submit these reports to the Supervisor for review this procedure applies to all shifts.
- The Supervisor shall maintain precise records of all security and organizationally required documentation, including Incident Reports, Client Sign-in Sheets, Daily Activity Reports, Attendance Logs, Verbal Coaching records, and Relias Training documentation.
- The Supervisor shall provide security services for agency events both onsite and offsite.
It is imperative to refrain from fraternizing with subordinates and individuals served by our programs. - The Supervisor may be required to work during holidays, nights, or weekends as necessary.
- The Supervisor may be assigned supplementary tasks by the Security Program Manager or the Associate Director of Operations.
- It is imperative that all designated security personnel schedule a monthly appointment for COVID-19 testing. The resulting test outcomes must be promptly uploaded into their respective Paycom records.
- Supervisors are responsible for creating and completing attendance log sheets for their security personnel.
- They must diligently monitor attendance and administer verbal coaching and/or corrective actions as necessary.
- Supervisors are required to schedule and conduct Google Meets and/or Zoom meetings with their security officers at least twice a month. These meetings should focus on job-related topics such as attendance, policies, uniforms, site checks, deadlines, training, important updates, and events.
- Supervisors are required to establish a Google Meet and/or Zoom meeting link at least two times per month to facilitate communication among themselves across the various shifts (day shift, swing shift, and graveyard shift) corresponding to their respective programs (Inside Safe/Pathway to Home and Interim Housing/Buildings) The primary objective of these meetings is to facilitate discussions regarding updates, address concerns, identify challenges, and consider any changes pertinent to their programs, the status of the officers, and training initiatives.
- Supervisors are required to complete and disseminate an end-of-shift pass-down email that documents their observations during the shift and any pertinent updates that must be communicated to their fellow supervisory colleagues. This pass-down must encompass details such as officer call-offs, schedule modifications, changes, requests, any incidents occurring during their shifts, status of completed and submitted service calls, and a list of any officer-related matters necessitating attention, mitigation, coaching, assistance, and/or corrective action.
- The Supervisors must submit a daily end-of-shift work agenda email to their management team that delineates the administrative and field tasks they accomplished during their respective workdays while on duty. This email must be directed to both management parties and the director.
- Supervisors are also expected to attend program management and director meetings relevant to the specific programs we serve, including Buildings, Interim Housing, Safe Parking, Permanent Housing, Inside Safe, Pathway to Home, and Emergency Relief Fund (ERF), as designated by their management teams. Attendance at these meetings is mandatory, as it ensures that supervisors remain informed of any changes, updates, last-minute emergencies or notices, training opportunities, current events, new relevant information concerning programs, cost center modifications, updates regarding E.T.F.s, program concerns, acknowledgments, and other significant matters that must be communicated to the team.
- Supervisors are required to notify the management team whenever security officers submit Time Off requests exceeding three consecutive days for reasons such as vacation, leave of absence, personal time off, or illness. This information must be communicated to management for approval and acknowledgment prior to the supervisors granting approval for the Time Off requests.
- The Supervisor are to complete the Personnel Action Form (P.A.F.) for their respective officers within 24 hours of the employees' leave commencement.
- Supervisors are responsible for arranging coverage for any call-offs that occur during their shifts before concluding their working periods.
- The Supervisors must engage in both administrative and fieldwork responsibilities during their shifts while on duty.
- It is imperative that supervisors conduct any necessary verbal coaching or corrective actions corresponding to employee violations, particularly when such violations warrant formal address through verbal coaching or corrective measures.
Minimum Qualifications - Knowledge, Skills and Abilities Required
- Minimum of three years’ experience in the security field. Proficiency in English language is required. A valid and current Guard Card from the California Bureau of Security and Investigative Services is required. High School Diploma or GED equivalent or equivalent work experience. Verification of Employment Eligibility and Background Check is required. TB test required (Note: Results may not be more than (3) months prior to or (7) days after date of hire and renewed
- annually thereafter.) CPR and First Aid certification required within 30 days of employment with the company. California Driver License, Proof of Car Insurance, Reliable transportation. Ability to communicate effectively, both written and orally. Ability to organize and implement services. Ability to work with clients from diverse cultural, ethnic, and socio- economic backgrounds. Verification of Employment Eligibility and Background Check. Critical thinking and problem- solving skills. Strong interpersonal and communication skills and ability to relate to staff and clients of a variety of cultures, languages and educational backgrounds. Complete a Naloxone training course. A handcuffing, mace and baton license.
Supervisory Responsibilities
- The person is responsible for supervision of the Division level security team. Staff shall be responsible for conducting Administrative duties.
Environmental Conditions (Working Conditions)
- Job duties are to be performed both in office and field settings. Individuals are exposed to weather conditions prevalent at the time, noise level is usually minimal, exposed to aggressive clients, and an office environment.
Physical Requirements
- You must typically spend time sitting, standing, walking, driving, carrying a maximum of 50 lbs., listening, and speaking to complete job requirements.
