Pay range $24 -27.90/hr. on W2
Summary
Under direction of the Associate Director, Development Operations, the Gift Processing Coordinator is responsible for the timely processing and acknowledgement of all gifts, pledges, pledge payments, matching gifts, memorial and tribute gifts, stock donations, gifts-in-kind, and other contributions. They will work directly with donors by creating acknowledgment letters, and responding to donor calls and emails. In addition, the Gift Processing Coordinator assists with records management and other Operations Team tasks, as necessary. The Gift Processing Coordinator is part of the Development Operations team charged with systems and database management, revenue reporting, gift booking and maintenance, receipting and acknowledgement, and events support. The Gift Processing Coordinator along with other members of the Operations Team, field donor, hospital department, and vendor inquiries.
POSITION SUMMARY:
The Gift Processing and Database Coordinator will maintain data integrity and drive the gift processing functions in the Development Office.
ESSENTIAL RESPONSIBILITIES / DUTIES:
• Coordinate and prioritize day-to-day gift processing activities and ensure accurate processing
• Supervise the accurate processing of checks, credit cards, stocks, wire transfers, and in-kind gifts. Audit daily gift batches.
• Oversee production of donor receipts and acknowledgments. Analyze the efficiency of this process and make changes as necessary.
• Process gift corrections and adjustments.
• Research, enter, and maintain biographical and gift data in the development gift information system (Raiser’s Edge). Process database record requests, ensure accuracy of data, and audit work done by colleagues.
• Maintain database integrity with daily audits and duplicate record cleanup.
• Run data queries and exports; develop, produce and maintain reports in Excel and Crystal Reports for analysis.
• Prepare mailing lists based on established criteria and donor lists for email and USPS mailings.
• Provide operational support, which includes registration, auction, gift processing, and volunteer oversight, for special events.
• Create and manage gift reports for the Development Office and Hospital Departments.
• Train staff in Raiser’s Edge use.
• Create and maintain Import Matic profiles specifically for gift entry, post-event guest information and prospect research.
• Assist with basic prospect research functions and management of electronic data.
• Analyse fundraising results and functions of the Operations team, and develop innovative ways to improve results both qualitatively and quantitatively.
• Serve as a liaison between the Operations team and other Development teams on gift inquiries.
• Create and maintain a policies and procedures handbook for gift processing activities.
• Deal with an extensive array or confidential matters involving staff, donors and volunteers related to the marketing and fundraising efforts .
• Perform other duties as required, including occasional night and weekend work.

EDUCATION:
Bachelor’s degree or equivalent experience.
CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

EXPERIENCE:
2-4 years of development office experience, with gift processing experience strongly preferred.
KNOWLEDGE AND SKILLS:
• Experience with data management systems strongly preferred, preferably Blackbaud’s Raiser’s Edge software, Microsoft Windows, MS Office (Word and Excel), and MS Outlook.
• Exceptional organizational and project management skills with ability to prioritize and manage multiple tasks and responsibilities.
