SUMMARY
This role offers an exciting opportunity to support global research and development initiatives in a dynamic, fast-paced environment. The Senior Administrative Assistant III will provide high-level administrative support to Change & Enablement and Global R&D Communications teams. Key tasks include managing complex schedules, coordinating international travel, and preparing critical project documentation. The position requires proactivity, adaptability, and strong decision-making in support of cross-functional teams across global time zones.
RESPONSIBILITIES
- Manage and maintain complex calendars including domestic and international travel planning.
- Coordinate internal and vendor meetings, including room bookings, IT setup, and refreshments.
- Provide administrative support to the R&D Change & Enablement team and Global R&D Communications team.
- Support global town halls and distribution of internal communications, maintaining accurate mailing lists.
- Develop, proofread, and edit internal and external communications and project documentation.
- Assist with vendor contract coordination, cross-functional events, and routine issue resolution.
- Independently maintain records, handle confidential information, and manage email communications.
- Prepare expense reports and monitor contract requisitions with minimal supervision.
- Identify process improvements and lead initiatives to enhance administrative efficiency.
QUALIFICATIONS
- 6 years of progressive administrative experience in complex organizational settings.
- Advanced proficiency in Microsoft Office Suite including Outlook, Excel, PowerPoint, SharePoint, and Teams.
- Experience coordinating across time zones and handling sensitive, confidential information.
- Excellent written and verbal communication skills and ability to engage with senior-level stakeholders.
- Strong organizational and multitasking abilities, proactive mindset, and adaptability to changing priorities.
- Proficient in Concur or similar expense reporting systems is preferred.
- Pharmaceutical industry experience is a plus.
- Education: High School diploma required; Associate’s or Bachelor’s degree preferred.
