Position Summary
This position is designed to provide administrative support and assist in the development, implementation, and administration of human resources functions, however with a focus on compensation and 403(b) plan related duties.
Essential Duties and Responsibilities
- Drafts and finalizes job descriptions, and maintain job description database. Assist with and conduct job evaluations, including analyzing job descriptions for appropriate grade, job level, title, and FLSA exemption status. May make periodic classification audits and make recommendation.
- Assists with the collection of information on positions from supervisors to develop job descriptions;
- Conducts research on various positions related to salaries, duties, and titles to aid in determining appropriate job matches;
- Accurately addresses inquiries regarding compensation including inquiries from employees and/or supervisors.
- Assists in the administration of the College’s retirement plan, track part-time eligibility for retirement plans, monitoring maximum deferrals limits, maintain logs and spreadsheets to ensure timely enrollment of eligible employees.
- Conducts research and respond to inquiries from employees regarding the College retirement plans and other Human Resource related matters;
- Assists with the development of various tools/electronic forms to create greater departmental efficiency.
- Manages various processes such as tuition waiver, supplemental pays;
- Supports special Human Resources projects and implementation utilizing various platforms, such as job descriptions and the performance review process.
- Drafts and finalizes employment letters, memos, and other office communication.
- Enters various information into the HRIS system and conduct various system audits and serves as primary backup for the Manager of Human Resources System by entering and maintaining all employees (faculty, staff, including temporaries, seasonal temporaries) data in Banner in a timely and accurate manner. This includes generating an ID number; entering all personal data (name, DOB, SSN, etc.); benefits deductions; salary information; generating routine and complex reports from Banner using Microsoft Access or other report writing tools;
- Assist with coordination of various Human Resources related programs and education sessions
- Participate in various salary surveys and analyze survey data;
- Reviews changes in employment and compensation laws and regulations and recommend changes.
- Coordinates logistics for related programs including confirming information with vendors/providers, developing communication materials, reserving rooms, and ordering refreshments.
- Provides general administrative support as requested including scanning/copying, making revisions to documents/policies, filing (including personnel files), process check request and/or requisitions.
- Assist in providing administrative and/or clerical support to Director as requested.
- Develops Standard Operational Procedures manuals.
- Analyzes various reports needed for the administration of compensation, HRIS records, retirement benefits and other areas;
- May develop and monitor social media initiatives for human resources and initiate ways to streamline processes and paper.
Required Qualifications
Bachelor’s degree preferred along with 2 to 3 years of directly related experience in human resources, experience required. Must have knowledge of applicable state and federal compensation laws and regulations. Experience in reviewing, writing and evaluating job descriptions; performing salary comparability studies; completing surveys; and conducting various salary analyses is preferred. Experience in and exposure to all areas of total compensation, with hands on knowledge of market pricing and job evaluation techniques and working with 403 (b) plan administration preferred. Demonstrated verbal presentation and excellent writing skills strongly desired.
Proficient working knowledge of FLSA and DOL compensation regulations, procedures, and compensation practices including employment classification rules and regulations is preferred. Must possess the ability to calculate and interpret mathematical formulas such as percentages, ratios, etc.
Must be process oriented. (i.e. understanding how payroll, finance, and HR work together). Must possess excellent organizational skills; able to prioritize to handle multiple projects or assignments and meet deadlines/deliverables; and provide timely follow-up/follow-through. Must be detail oriented, time sensitive, driven for accuracy, and capable of understanding the broader picture. Excellent skills in both mathematical and comparative analysis are required. Knowledge of market pricing and job evaluation techniques required. Must demonstrate civility, excellent customer service skills, and the ability to handle confidential matters, and respond to employees with diplomacy and tact.
Must have advanced proficiency using Word, Power Point, & Access. Advanced Excel spreadsheet skills including ability to apply functions such as VLook-ups, pivot tables, and mathematical formulas required. Knowledge and use of creating forms in Adobe a plus. Use of Banner/Ellucian systems is a plus. Must be able to learn new software platforms quickly.
