Key Responsibilities:
- Answer, screen, and process incoming calls and messages for managers and staff.
- Greet customers with professionalism and positivity.
- Maintain the equipment repair log, code vendor invoices, and track packing lists.
- Assist in annual inventory reconciliation, monitor equipment/parts distribution, and handle shipping/receiving.
- Reconcile petty cash monthly and support customer billing processes.
- Collect, review, and price work orders per contracts and agreements.
- Monitor and process technicians' time entries daily and bi-weekly.
- Prepare complex data summaries, including spreadsheets, graphs, and reports.
- Support the branch manager with typing, filing, and order tracking.
Physical Requirements:
This role requires the ability to lift and carry packages (up to 15 lbs) and occasional walking or standing to distribute items.
Qualifications:
- High school diploma required; an associate degree or some college/business coursework is preferred.
- Minimum 3 years of related experience, ideally in an administrative role with progressive responsibility.
- Strong customer service skills for greeting clients and handling phone communications professionally.
- Typing speed of 45 WPM or higher.
- Advanced proficiency in Microsoft Office Suite, particularly Excel and Word; experience with Microsoft Dynamics AX is a plus.
- Detail-oriented, organized, and proactive problem solver.
- Effective written and verbal communication skills.
- Ability to thrive under pressure and meet tight deadlines.
- Self-motivation and ability to work independently are essential.
