Spice Catering Co. is seeking a highly organized and dynamic Event Manager to lead the execution of catered events, ensuring seamless experience for clients and guests. Key Responsibilities:
Pre-Event Responsibilities
- Attend final walkthrough with the Event Planner to review event logistics and expectations.
- Participate in the event handoff meeting and conduct a captain meeting with the assigned Event Captain (when applicable).
- Ensure all event staffing needs are met and manage any last-minute staffing challenges.
Event Execution
- Serve as the primary point of contact for event staff, clients, vendors, and venue representatives.
- Lead the full setup, execution, and breakdown of the event, ensuring all elements align with the client’s vision and our service standards.
- Oversee and manage:
- Rental check-in and verification of all necessary equipment and supplies.
- Staff queuing and team assignments to ensure smooth service flow.
- Event setup and management, including dining areas, bars, and buffet stations.
- Clear and concise communication with the Event Chef as timing evolves throughout the event.
- Dinner service execution, ensuring timing, service quality, and guest experience meet expectations.
- Collaboration with the Lead Chef to review and adjust the event timeline as needed.
- Real-time problem-solving to address unexpected challenges or client requests.
- Staff cutting post-event volume to ensure efficiency while maintaining excellent service.
- Event breakdown and proper packing of all items for return to the warehouse.
- Post-event reporting, including shift notes submitted via Slack or in a hard copy format.
Post-Event Responsibilities
- Conduct a comprehensive event review with the Event Planner, including:
- Payment and tip handoff for staff.
- Client satisfaction review and feedback collection.
- Staff performance evaluations and feedback.
- Inventory and packing review to ensure all equipment and rentals are accounted for.
Essential Skills:
- Experience in Events management in catering, hospitality, or a related field.
- Must complete Spice Captain Training, which includes:
- One 90-minute training session covering expectations, procedures, and best practices.
- Shadowing a seasoned captain at one wedding or large event.
- Serving as an event captain for at least three weddings or comparable events.
- Demonstrated ability to manage full event execution and close down events independently.
- Exceptional organizational and time-management skills with the ability to juggle multiple priorities.
- Strong problem-solving skills with the ability to quickly pivot and execute backup plans when necessary.
- Ability to stay calm under pressure and lead with confidence.
- Excellent communication skills, both verbal and written, to effectively direct teams and liaise with clients.
- Flexible and adaptable mindset, with a proactive approach to addressing challenges.
- Open to receiving and implementing constructive feedback for continuous improvement.
- Physical requirements: Ability to lift 30 lbs and stand for extended periods.
- Must commit to working at least two weekends per month from May through October.
