Job Responsibilities:
- Office Operations: Manage day-to-day office activities including patient scheduling, managing phone lines, greeting patients, and handling paperwork.
- Patient Interaction: Provide exceptional customer service by welcoming patients, answering questions, and ensuring a smooth and positive experience.
- Billing & Insurance: Handle patient billing (collecting copays and balances), insurance verification, coding, and processing insurance claims. Follow up on outstanding payments.
- Inventory Management: Order and maintain office supplies, and manage inventory for chiropractic equipment and products.
- Staff Coordination: Oversee and assist with the training and management of support staff, ensuring smooth office flow.
- Compliance & Records: Maintain patient records and ensure compliance with HIPAA regulations and practice policies.
- Technology Management: Ensure office software systems (EHR, scheduling software) are running smoothly, and assist with troubleshooting when needed.
- General Office Administration: Handle daily office tasks such as filing, faxing, office maintenance, and reporting to the chiropractor or practice owner.
Qualifications:
- Proven experience as an office manager or in a similar administrative role, preferably in a medical or chiropractic office.
- Strong knowledge of office management procedures, billing, insurance, and customer service.
- Proficient in MS Office Suite and chiropractic office management software (experience with EHR systems a plus).
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with professionalism and confidentiality.
- Strong organizational skills and ability to multitask in a fast-paced environment.
- High school diploma or equivalent (Associate’s degree in business or healthcare administration is a plus).
- Previous experience in the chiropractic field is a plus, but not required.
