Battlefield Elementary School is actively seeking an experienced administrative secretary to serve as a vital member of the school's financial team, ensuring accurate accounting records and orderly bookkeeping reports for the school. This position handles various financial transactions, manages school budgets, and generates reports to support school administration. In the absence of the School Secretary/Registrar, this position provides administrative support to the front offices or other departments within the school.
Essential Job Functions:
- Receives and screens visitors, staff members, telephone calls and incoming mail, personally responds to inquiries by making decisions which in the employee’s judgment do not require the supervisor’s attention
- Organizes the flow of correspondence and other pertinent data, establishes and maintains a filing system that provides for the efficient operation of the department while maintaining confidentiality
- Prepares, produces and makes appropriate distribution of all correspondence, including letters, memoranda; reports, recommendations, notices, orders, requests, schedules, etc and any other necessary informational items.
- Prepares necessary informational materials for the department for which they are assigned, i.e. assigning and completing necessary paperwork for substitute teachers, scheduling bus drivers for field trips.
- Aids with registration procedures for new students.
- Establishes and coordinates the efficient operation of the office receipts and disbursement of funds in accordance with budget allocations.
- Maintains complete records of all financial transactions.
- Prepares monthly bank reconciliation for the Accounting Department.
- Prepares the monthly annual reports and records in compliance with auditor’s regulations.
- Monitors and reports financial information to the supervisor.
- Communicates with vendors to secure and maintain supplies and equipment.
- Tracks employees timeclock daily entries and leave requests.
- Processes payroll packets twice a month for submission to the payroll department at the School Board Office (SBO).

Education and Experience:
Required
- High School Diploma or GED
- Two (2) years of experience in a financially responsible role, ideally on a finance or payroll team within the Education industry
Preferred
- Associate’s Degree in Accounting, Business Administration, or a related field
- Previous experience processing payroll data, ideally within the Education Industry.

Employment Terms: Employment may be offered as a 12-Month (243 Day) contract, at a minimum of 7.5 hours worked per day. This position is evaluated annually.
