Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations, ensuring efficient office management, and providing exceptional service to clients. This position requires strong organizational skills, a professional demeanor, and the ability to multitask effectively in a fast-paced environment.
Duties
- Manage phone communications with professionalism and courtesy, ensuring all inquiries are addressed promptly.
- Greet guests in a professional and friendly manner.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Maintain paper and electronic files and records with effective filing systems.
- File documents systematically to ensure easy retrieval and organization of information.
- Proofread documents for accuracy and clarity before distribution.
- Assist Project Managers in permitting process both electronically and paper copies.
- Maintain company calendar and owner’s calendar.
- Maintain attendance records for staff in Florida and Georgia offices.
- Daily communications with owner regarding staffing schedules.
- Maintain project time sheets.
- Coordinate meetings, send reminders, set up conference room.
- Support all employees with various administrative tasks (emails, phone calls, multiple forms of correspondence, etc.)
- Maintain a clean and organized workspace to promote productivity.
- Collaborate with team members to streamline administrative processes.
Experience
- Proven experience in an administrative role or similar position is preferred.
- Strong phone etiquette and interpersonal skills are essential for effective communication with clients and colleagues.
- Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Powerpoint & Outlook) and Adobe Acrobat.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
