JOB TITLE : Human Resources Assistant
REPORTS TO : Human Resources Director

Description of Basic Responsibilities
The position of Human Resources Assistant performs administrative tasks to support the Human Resources department and assist the Human Resources Director as necessary. The Human Resources Assistant serves as the first point of contact for HR-related matters within the Springfield Urban League, Inc. and ensures compliance with company policies.
Key Responsibilities :
- Generate Employee Action Forms (EAF's) for SUL Staff personnel for various transactions (i.e. Head Start, Early Head Start, Education & School Aged Youth, Community Health and Training Center, Health Initiatives, Empowerment Center, and other programs).
- Participate in the interview process when necessary.
- Conduct orientation for new, and returning staff as needed; keep orientation packets up-to-date via the online ADP HR portal.
- Assist with recruitment efforts and maintain job applications via the ADP HR portal.
- Schedule background checks for applicants.
- Schedule physicals for new hires and annual physicals for staff.
- For Head Start, distribute the necessary DCFS documentation from staff orientations to various Head Start Site Managers; Send DCFS documents to DCFS Representatives, such as 508-1 and 508 forms, and DCFS background checks 718-B's as part of the hiring process; Transfer staff backgrounds clearances to the Chicago Office when necessary; Send DCFS Background checks forms 718E to Chicago Office when deemed necessary.
- Make new hire staff files; organize and maintain all staff files.
- Keep HR databases current (i.e. ADP, HR Management, Employee Navigator).
- Maintain the enrollment and termination for eligible staff in all benefit systems (i.e. Mutual of America, Employee Navigator)
- Meet demands from SUL program staff as necessary, such as retrieving files, copying documents, etc.
- Maintain paid benefit time (i.e. sick, vacation, personal, PTO) for each staff member.
- Maintain timesheet file, physical files, background clearance files, closed files of terminated staff.
- For Head start and Early Head Start, participate in the returning staff pre-service straining by preparing EAF's, scheduling vendor sessions; prepare report for Policy Council Meetings and attend meetings when necessary.
- Verify employment of staff to various establishments.
- Prepare clerical assistance and correspondence as needed.
- Distribute appropriate information for job vacancies through In-House or outside advertisement.
- Prepare layoff and recall communications for 9-month program staff.
- Enter new hires into Payroll System; Up-date payroll system as needed.
- Check payroll entries as needed for payroll processing.
- Respond to unemployment claims and wage audits via the ADPUCM portal.
- Assist with the various program State or Federal review process.
- Assist with Agency and Single program audit process.
- Provide clerical support when necessary.
- Other duties as assigned.
