The Front Office Manager is responsible for overseeing the daily operations of the front desk and ensuring the highest standards of service and guest satisfaction at a 121-room Springhill Suites hotel. This role includes managing staff, optimizing guest services, handling administrative duties, and working closely with other departments to ensure seamless operations and guest experiences.
Key Responsibilities
1. Guest Services Management:
- Ensure guests receive prompt, professional, and courteous service.
- Handle guest complaints, requests, and inquiries efficiently.
- Oversee the check-in and check-out process to ensure accuracy and efficiency.
2. Staff Supervision and Training:
- Recruit, train, supervise, and schedule front office staff.
- Conduct performance evaluations and provide feedback and coaching.
- Foster a positive and productive work environment.
3. Administrative Duties:
- Manage room inventory and ensure optimal room allocation.
- Oversee billing and payments, ensuring accurate processing.
- Prepare and manage the front office budget, monitor expenses, and control costs.
4. Operational Management:
- Ensure compliance with hotel and brand policies, procedures, and standards.
- Conduct regular inspections of the front desk and lobby areas to ensure cleanliness and functionality.
- Coordinate with housekeeping, maintenance, and other departments to ensure seamless operations.
5. Financial Responsibilities:
- Monitor daily financial transactions and ensure accurate end-of-day reporting.
- Assist in the preparation of financial reports and forecasts.
- Implement revenue management strategies to maximize occupancy and revenue.
6. Guest Relations:
- Develop and maintain relationships with regular guests.
- Address VIP and special guest requirements.
- Promote hotel services and amenities to enhance guest experience.
7. Technology and Systems:
- Oversee the operation of the property management system (PMS) and other front office technology.
- Ensure staff are proficient in the use of these systems and troubleshoot issues as needed.
8. Sales and Marketing Support:
- Collaborate with the sales and marketing team to promote the hotel.
- Assist in the development and execution of promotional initiatives.
Requirements
Qualifications
- Experience: Minimum of 3-5 years of front office management experience in a hotel setting.
- Skills: Strong leadership, communication, and interpersonal skills. Proficiency in hotel management software (PMS) (Fosse), Microsoft Office Suite, MGS, Paylocity, M3, Micros POS and other relevant technology.
- Characteristics: High attention to detail, excellent problem-solving skills, and a customer-centric approach.

- Ability to lift up to 25 pounds.
- Flexible work hours, including nights, weekends, and holidays, as needed.
