Position Description
Sprott Global is looking for a temporary Private Placements Coordinator & Operations Assistant to join its team in Carlsbad, California. The incumbent in this position will provide daily support for private placements and the Operations department, including cashiering and restricted securities. The Private Placements Coordinator and Operations Assistant will work in close concert with other departments and our clearing firm, RBC Capital Markets LLC. This is an entry-level position in terms of finance industry experience, however the ideal candidate will have a strong administrative background.
Position Responsibilities
Primary Responsibilities:
· Close cooperation with Operations and Sales teams;
· Liaise with advisors, issuers and outside legal counsel regarding all necessary information related to private placements including timing, term sheets, subscription agreements, due diligence questionnaire(s) and finder’s fee agreements;
· Process trades and settlement for placement; including completion of necessary due diligence on wire details;
· Forward funds to the issuer and book trades from client’s accounts to RBC syndicate account;
· Reallocate interest as needed based on advisor production;
· Provide advisors with subscription agreements (US and non-US) to send to clients, including mandatory disclosures and a breakdown of placement terms;
· Ensure all subscribers are accredited and determine if proof of accreditation is required;
· Ensure all private placement paperwork is completed accurately and maintained as required;
· Send monthly petty cash reports and maintain petty cash drawer;
· Vote proxies for our clients.
Restricted Securities Department – backup responsibilities:
· Monitor restricted positions on a daily basis and prepare required documentation for our custodian;
· Prepare and send appropriate paperwork to clients and advisors;
· Record received information from RBC and prepare summaries for advisors;
· Receive and analyze daily sheets from our custodian and coordinate with others internally to ensure proper coding;
· Prepare daily blotter for RBC and forward documentation to them via FedEx;
· Exercise warrants and assist with debenture distributions of private placements; and
· Close collaboration and timely information sharing between RBC, advisors and our trading team.
Cashiering – backup responsibilities:
· Process payouts;
· Perform necessary due diligence on outgoing wires;
· Electronically scan all incoming checks via US Bank into clients’ accounts;
· Post all cashiering transactions into appropriate blotters;
· Process all incoming and outgoing account transfers; and
· Process stock certificates and/or warrants and preparing blotters for internal use and RBC.
Experience
· Experience with Microsoft Office suite – especially Microsoft Excel and Word;
· Superior communication skills, both written and verbal;
· Great attention to detail;
· Knowledge of DocuSign preferred;
· Bachelors or Associates Degree preferred;
· Strong administrative experience;
· Demonstrated attention to detail; and
· Finance industry experience is a plus, but not required
