What are the responsibilities and job description for the Transportation Coordinator position at Sprouts Farmers Market?
This is a hybrid position based out of our Glendale, AZ facility. The Transportation Coordinator is responsible for multiple vital functions that are foundational to Sprouts Transportation operations. The individual in this role is responsible for vetting potential new carriers, carrier contracting and setup, rate management in the Sprouts Transportation Management System (TMS), and handling carrier cargo claims according to Sprouts procedures. The Transportation Coordinator will also handle all aspects of the RFQ/bid process, maintain key pieces of documentation used by the transportation operations teams, and support transportation leaders on projects as assigned.
Overview of Responsibilities
- Manage multiple carrier lane RFQs each year, including creating bid documents, compiling bid packets and sending to carriers, documenting carrier rate submissions, compiling bid results and recommendations for management, and facilitating all bid-related communication with carriers.
- Manage carrier cargo claims, working closely with the Risk Management team. This includes compiling all claim documentation, submitting claims to carriers, handling claims-related inquiries, and compiling necessary reporting on status of claims.
- Handle inquiries from carriers interested in doing business with Sprouts and manage the vetting process by collecting information, evaluating fit for Sprouts network, and presenting recommendation to transportation leadership on whether to onboard.
- Onboard new carriers, including facilitating introductions between new carrier and Sprouts Transportation, training on carrier TMS functions, set-up of the carrier in TMS/CARMA, and working with other internal teams to setup new carrier as a Sprouts vendor.
- Upload and maintain carrier rate documentation in the Sprouts Transportation Management System (TMS). Ensure all rate information remains current and accurate at all times.
- Maintain records of carrier insurance coverage, verifying that Sprouts coverage requirements are being met, and following up with carriers for documentation as needed.
- Work closely with outbound carriers to compile and maintain reporting on store pallet/bale returns, including researching reporting discrepancies and participating in Sprouts Recycling Program meetings.
- Ensure all carrier contacts, location details, and internal and external contact lists are kept current and updated as needed.
- Compile carrier scorecards and publish monthly to carrier leadership.
- Create and maintain SOPs documenting all carrier and rate management setup processes.
- Work with transportation leaders to help manage performance of hired carriers and brokers in alignment of Sprouts requirements and goals.
- Maintain effective communication flows with the internal Produce teams, vendor teams, and/or 3PL teams as required.
- Support Transportation analyst with data collection for various projects as assigned.
- Identify areas of improvement and work with Supply Chain leaders on best practices, tactical decisions, and strategic initiatives.
- Prepare various reports and professional correspondence as required.
- Additional duties as assigned.
Qualifications
- At least 5 years of Supply Chain experience, with at least 2 years in a transportation or logistics position.
- Minimum of 2 years of experience using a Transportation Management System (TMS). MercuryGate experience is strongly preferred.
- Strong business acumen and project management capabilities.
- Knowledge of DOT rules and regulations
- Analytical, creative, and innovative thinking style.
- Negotiation and strong interpersonal and problem solving skills.
- Ability to successfully manage multiple concurrent projects and priorities while meeting all required deadlines.
- Strong proficiency with Microsoft Excel. Power BI experience is preferred.
- Strong leadership and change management skills.
- Strong presentation, verbal, and written communication skills
- Ability to communicate verbally or in writing with different audiences across all levels of an organization.
