We are seeking a detail-oriented and organized Warranty Administrator to join our team. The Warranty Administrator will be responsible for managing warranty claims, processing paperwork, and maintaining records related to product or service warranties. This role is essential in ensuring timely and accurate processing of warranty claims, liaising between customers, service providers, engineering, and manufacturing, and upholding the company's commitment to customer satisfaction.
Essential Duties
- Manage Warranty Claims: Process and manage warranty claims from submission to resolution, ensuring accuracy and compliance with manufacturer and company policies.
- Documentation and Record Keeping: Maintain detailed records of all warranty claims, including claim submissions, approvals, rejections, and any correspondence with customers and manufacturers.
- Liaise with Stakeholders: Act as a point of contact between customers, service departments, and manufacturers to facilitate the timely resolution of warranty claims.
- Review and Verify Claims: Ensure that warranty claims are complete, accurate, and valid, verifying all necessary information such as repair orders, receipts, and product details. Collaborate with a warranty committee to ensure appropriate claim dispositions.
- Follow Up: Monitor the status of warranty claims, communicate with relevant parties for updates, order parts and track deliveries, and ensure claims are processed and closed within the required timeframes.
- Customer Service: Provide excellent customer service by addressing any concerns or questions related to warranty policies, processes, and claim status.
- Reporting: Generate reports on warranty activity, including claim trends, resolution times, and reimbursement statistics.
- Policy Compliance: Stay informed about and ensure compliance with manufacturer warranty policies, procedures, and any updates.
- Process Improvements: Identify opportunities to streamline and improve the warranty claim process. Work with relevant internal stakeholders to facilitate design and process changes necessary to avoid future claims.
Requirements
- Education: High school diploma or equivalent (required); bachelor’s degree in business administration, engineering, accounting, or a related field (preferred). Years of experience may be considered in lieu of a degree.
- Experience: Minimum of 2 years of experience in a warranty administration role, claims processing, or similar position. Experience in the automotive or manufacturing industry is a plus.

- Excellent communication and interpersonal skills
- Ability to work independently and manage multiple tasks
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with warranty claim management systems
- Ability to analyze and interpret warranty policies and procedures
- Problem-solving skills with the ability to work under pressure and meet deadlines
- Familiarity with Lean Manufacturing Principles, ERP systems, and SQL database management preferred, but not required.
