- Completing transactional duties with special attention to detail, being organized, and multi-tasking
- Interacting with our ongoing customers, team members/Leads, and employees via phone, Skype and email
- Handling and receiving incoming and outgoing correspondence
As a Senior Administrative Assistant, your day-to-day duties will include:
- The Senior Administrative Assistant (SAA) in this office will serve as advanced support for several principals and will lead on all Interagency scheduling
- The position requires critical thinking when reading through large quantities of meeting requests
- The SAA should be very proactive, ask the right questions, and have a professional demeanor that has confidence when working with seniors and other government agencies
- The advanced support includes proactively seeking answers to questions they anticipate will be asked by their principals
- The SAA will coordinate the travel for their principals and submit necessary requests/vouchers
- The SAA will be expected to preemptively identify and address elements that are necessary for the principal's success requiring the SAA to stay a step ahead.
- Thoughtfulness and ownership of their principals' schedules is imperative
- Thinking through the logistics of each meeting to ensure their principals are on schedule and have the information they need to understand the 5 W's of each meeting
- The SAA should have a can-do attitude and positive demeanor
- This is a customer facing position requiring a high level of professionalism as the SAA will interact with the center's workforce, partners, and liaisons, and will be seated at the entrance to the office suite
- The SAA will report to the chief and deputy chief
- The SAA will interface with numerous visitors from a wide variety of offices
- The SAA should have excellent verbal and written communication skills, be self-motivated, able to work independently as well as be team oriented
- Travel, if any, would be local to Fort Meade, MD, and occasionally domestic off-sites. The SAA will consistently use the following systems to complete actions throughout each week
- Outlook, Microsoft Office, DTS and training platforms
- The SAA needs an advanced skill level with Microsoft Word and Outlook
- The position is non-supervisory, but the SAA may be asked to train junior Admin Assistants as required
- The SAA will provide personnel management support throughout the office via numerous activities and responsibilities
- The SAA will handle access requests via the sponsor access request tracking system, troubleshoot access request errors should they arise, and escort visitors as needed
- With the arrival and departure of personnel the SAA will update seating charts and phone cards, and track all arriving/departing officers and trainees, as well as update approvers' lists, and rosters
- As directed, the SAA will provide vault access
Your qualifications must be:
- · The position requires an active TS/SCI security clearance with CI Polygraph
- · The position requires a HS Diploma and seven (7) years of relevant experience or equivalent combination of education and experience
- · The work schedule is a standard schedule with core hours of 7:30am – 4:30pm (M-F)
- · Proficient Word, Excel, Outlook, PowerPoint
- · Able to perform duties with minimal supervision and some team interaction
- · This position is on the client site. Remote or telework is not permissible.
