SUMMARY: Works under the direction of the Elder’s Manager. Works closely with the Elders to identify areas of interest for social, educational, and cultural activities. Plans and implements social, lifelong learning, and health improvement services and activities. Also coordinates cultural activities, regular local activities, and a schedule of daily on-site activities and rotate with new activities monthly. The Activities Coordinator works as an active team member with Elders Support Services and works with grant requirements for Health and Wellness and Cultural activities. The position will require frequent schedule adjustments including alternate work hours and shifts based on the needs of the department.

Duties and Responsibilities include the following and other duties as assigned:

  • Attend Elders Committee as a representative of the Elders program staff of the Family Services Department meetings and collect information and interests related to social, educational and cultural activities for elders. Provides at least one health prevention type presentation monthly.
  • Develops a calendar of proposed activities covering a six-month period that will be presented to Elders Manager by 5th of each month for final review and approval by Family Services Director. Elders feedback is for the activities are gathered through meetings, and suggestion box, or emails . While the calendar goes out 6 months, it should be updated monthly to account for any unforeseen changes.
  • Provide weekly updates regarding the events in the Elders Program
  • This calendar will include travel, daily on-site activities, and monthly off-site activities. Make sure all activities are planned and implemented with Elders’ safety put first. Ensure that all off-site activities are accessible to Elders with limited mobility issues, including but not limited to wheelchair accommodations, elevators, and seat selections, etc.
  • Coordinate travel plans upon submission from the Elders Manager who will receive the travel plans from the Elders Board. Maintain accurate records of each Elder traveling and make sure accommodations are made for any limited mobility Elders.
  • Plan and conduct activities in a fiscally responsible manner, including advance requisition of funds, following all Tribal and Elders, Inc. reconciliation procedures and the Tribe’s Procurement Manual. Take plans for requested funding to the Elder’s Manager who will work with the FS Office Manager to review budgets and ascertain funding availability and appropriateness for supplies requested for Health & Wellness Activities on and off site, ensure the final budget is reviewed by the Director.
  • Review and comply with appropriate departmental policies and procedures.
  • Submit required documentation to Elders’ Program Manager as required to be submitted to Elder’s Inc. board . The Elder’s Program Manager will submit them to Elder’s Inc. and the Elder’s Committee as appropriate.
  • Work on large fundraising events and activities such as the OysterFest Salmon Bake and the bi- annual Elder’s Host Luncheon, which will require long and intensive work hours. Request and coordinate volunteers to assist Elders with activities including fundraising events.
  • Maintain files that include sign-in sheets from the event and the amount of funds dispersed by the end of the event.
  • Maintain a high level of professionalism when representing the Family Services Department. This includes understanding other available resources within the Tribe and local community referrals and internal staffing when appropriate. Remain within the scope of practice and obtain assistance as needed.
  • Attend trainings as required.
  • Create desk manuals for all large fundraising events such as Oysterfest , Elders Host Luncheon, etc.
  • Other duties as assigned

Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before small groups or employees of organization.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common factions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Computer Skills: To perform this job successfully, an individual must be able to type a minimum of 30 words per minute and have excellent computer skills and experience using Microsoft Word and Excel.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Certificate, Licenses, Registrations: Must have a valid Washington Driver’s License and proof of insurance. Able and willing to drive a large passenger van. Must have and maintain a Food Handlers Permit and a First Aid Certificate, or obtain these within 30 days of hire. Must successfully pass a WATCH and Tribal Court background check.

Requirements:

AA Degree with 2 years’ relevant experience serving an elderly population OR HS diploma/GED and 4 years of relevant experience serving an elderly population. Must be able to work well with Elders, address and communicate with Elders in a patient and respectful manner; display an openness to listen to ideas and interests of elders; and be knowledgeable regarding challenges and/or barriers specific to Elders.
