Administrative Assistant
Position Summary
The Administrative Assistant will report directly to the Managing Director and provide comprehensive administrative support, including clerical functions and other critical tasks to enhance office operations and organizational efficiency.
Preferred Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field is highly preferred.
- Minimum of three years of experience in human resource management.
- SHRM-CP or SHRM-SCP certification is highly desired.
- In-depth understanding of benefits administration, 401(k) plans, Workers' Compensation, and OSHA regulations.
- Excellent interpersonal, negotiation, planning, and conflict resolution skills.
- Exceptional organizational skills and keen attention to detail.
- Strong analytical and critical thinking abilities.
- Proven ability to prioritize tasks effectively and delegate responsibilities when appropriate.
- Demonstrated integrity, professionalism, and confidentiality.
- Comprehensive knowledge of employment-related laws and regulations.
- Proficiency in HRIS and talent management systems or the ability to quickly learn them.
- Excellent written and verbal communication skills; ability to interact effectively across all levels of the organization.
- Bilingual proficiency in English and Spanish is preferred.
- High stress tolerance with sound judgment and decision-making capabilities under pressure.
- Proficiency in Microsoft Office Suite and related software.
Key Responsibilities
- Partner with the leadership team to understand and implement the organization’s human resource and talent strategy, with a focus on current and future talent needs, recruiting, retention, and succession planning.
- Provide direct support and guidance to HR Generalists, managers, and other staff.
- Manage the talent acquisition process for managerial, exempt, and professional roles, including sourcing, interviewing, and hiring.
- Collaborate with department managers to identify required skills and competencies for job openings and assist with recruitment strategies.
- Develop and implement learning and development initiatives that promote internal growth and employee advancement.
- Oversee employee disciplinary actions, terminations, and workplace investigations.
- Ensure compliance with federal, state, and local employment laws and regulations, and uphold industry best practices.
- Regularly review and update policies and procedures to maintain legal compliance.
- Stay current on trends, regulatory changes, and advancements in human resources, talent management, and employment law.
- Provide constructive and timely performance evaluations.
- Manage employee discipline and termination processes in alignment with company policies.
- Lead the development of procedures and practices that foster a positive and engaging workplace culture.
- Oversee the department’s daily workflow and operations.
- Perform other related duties as assigned by management.
