Job Description

General Description:

The Administrative Assistant to the Senior Pastor has the responsibility of assisting the Senior Pastor as well as the coordination, planning and organization of church activities and church office functions. This person is accountable to the Senior Pastor and works in a spirit of cooperation with other members of the staff and members of the congregation and community.

Responsibilities

A. Office Management

  • Oversees the organization and major operation of the church office and recommends changes and improvements in these procedures to the Senior Pastor before implementing them.
  • Produces guides for worship and special services, i.e. weddings, funerals, etc.
  • Updates website and app and creates and sends mass e-mail communications.
  • Types documents such as minutes, reports, etc.
  • Recruits office volunteers. Supervises volunteers and part-time office help.
  • Oversees the accurate and prompt maintenance of office records, supplies and office equipment.
  • Keeps records of membership names, oversees filing, sorts office mail and handles correspondence as directed.
  • Coordinates publication of newsletter, bulletins and telephone/address directory of attendees of St. Andrews.
  • Receives and makes telephone calls for staff when necessary and serves as office receptionist.
  • Schedules facility usage for church groups and outside users.
  • Manages admin email account and sends out weekly email reminders to volunteers and others serving in various ministries.

B. Administrative Assistant Duties

  • Serves as Administrative Assistant to the Senior Pastor, including preparing correspondence on the pastor's behalf, managing the pastor's calendar, and supporting the staff, members, etc. as approved by the Senior Pastor.
  • Performs and oversees the duties of the church office, such as typing, data entry, developing the Sunday program, newsletter, preparing brochures/reports and operating office equipment.
  • Performs other duties and assumes other responsibilities as mutually agreed upon and directed by the Senior Pastor.

Required Skills

  • Excellent phone / communication skills
  • Demonstrates competence in Canva, Microsoft Suite, Google Drive and associated Google apps such as Google forms, Publisher, as well as demonstrated ability to handle mass emails and website updates.
  • Administrative / Organizational skills with the ability to work on and accomplish multiple tasks in a busy office environment with constant interruptions.
  • The important things for this position are a sense of calling to serve God in the local church, an attitude that is positive, very strong administrative skills and the ability to work with a diverse group of people.

The position is a part-time paid position of 28-32 hours per week. Benefits are according to St. Andrews Lutheran Church Personnel Policy guidelines.
