Position Summary
St. Augustine Preparatory Academy is seeking a dedicated and detail-oriented Records Clerk responsible for managing, processing, and maintaining student records. This is a twelve month role. The Records Clerk plays a vital role in supporting the academic journey of students at St. Augustine Preparatory Academy by ensuring that their records are meticulously maintained, secure, and accessible. This individual will play a key role in the life cycle of student information, ensuring the accurate receiving and sending of cumulative folders for students entering and exiting the school. Additionally, the Records Clerk will be tasked with creating, organizing, and maintaining electronic cumulative records for all current and past students.
Key Responsibilities
● Cumulative Folder Management:
○ Receive and process incoming cumulative folders for new students verifying all documents for completeness and compliance with institutional policies. Communicate with prior schools or families to obtain missing information or documentation.
○ Prepare and send out cumulative folders for students transferring or graduating from
St. Augustine Preparatory Academy.
● Electronic Records Maintenance:
○ Create, update, and organize electronic cumulative folders for current and former students, ensuring accuracy and confidentiality.
○ Convert and digitize paper records to electronic format to streamline access and record-keeping.
● Data Accuracy and Confidentiality:
○ Ensure all student records are accurate, up-to-date, and handled in compliance with school policies and privacy regulations.
○ Maintain confidentiality and data security, following FERPA and other applicable guidelines.
● Record Retrieval and Organization:
○ Work independently to retrieve student records as needed for administration, teachers, and authorized parties.
○ Collaborate with school personnel as necessary to understand processes and facilitate record retrieval.
○ Keep physical and electronic filing systems organized and accessible for efficient retrieval. ○ Assist in audits, inspections, or reporting requirements by ensuring timely and accurate retrieval of records.
Qualifications
● Education: High school diploma or equivalent; additional administrative training or certification is a plus.
● Experience: Prior experience in record management, administrative support, or a similar role in an educational environment is a plus.
● Skills:
○ Bilingual (English and Spanish) is a requirement
○ Strong attention to detail and accuracy
○ Proficiency with Microsoft Office and data entry systems
○ Familiarity with student record management systems is an advantage
○ Excellent organizational skills and the ability to handle confidential information
responsibly
○ Comfortable working independently, with the initiative to reach out for guidance
when needed
○ Strong interpersonal and communication skills to work effectively with school
staff, students, and external stakeholders
Working Conditions
● Ability to work in an office setting, including standing, sitting, and using office equipment
● Lifting of filing boxes, student files, and materials may be required
Physical Requirements
● Must be able to stand and/or walk for extended periods of time
● Must be able to lift and carry up to 25 lbs.
● Ability to bend, stoop, reach, and perform physical tasks as necessary for organizing and handling records.
