Overview
St. Catherine Catholic School is seeking a Full time Administrative Assistant. Under the supervision of the Principal, provides support to the principal in a wide range of office and school operations; coordinates and organizes office activities and coordinates flow of communications and information for the Principal; provides support by planning, organizing, and participating in the school office administrative operation; maintains confidentiality of sensitive and personal information; prepares and maintains a variety of records and reports related to assigned activities.
Job Responsibilities
- Provide a variety of general administrative and clerical support to the front office and Principal.
- Attends and participates in assigned meetings and training; prepares minutes from notes as required.
- Receives and greets visitors and provides information to parents and the public, screens correspondence and telephone calls for the administrator and staff.
- Answer routine inquiries by phone and/or email.
- Updates and maintains multiple calendars as assigned; organizes appointments and meetings and make arrangements for school visits and facility use.
- Operates a variety of office equipment including a copier, fax machine, two-way radio, computer and assigned software.
- Supports the operation of school front office including tidiness, organization and overall functionality.
- Tracks and maintains assigned school supplies according to established procedures and assures appropriate levels of supplies are maintained.
- Prepares and submits purchase orders and work orders as assigned; prepares reimbursement requests and deposits according to established procedures.
- Establishes, maintains and assures proper use of confidential files including student, personnel and payroll records.
- Secures substitutes to assure adequate coverage for school site; orients substitute personnel and provides keys and pertinent information.
- Monitors students, parents, and volunteers checking in and out on the school check-in system and issues visitors passes.
- Responsible for student file maintenance including: scanning, filing, sending out to and receiving from other schools
- Assists principal with the compilation of reports.
- Assists with the scheduling of substitute teachers to fill in for absent teachers.
- Assists with registration duties as needed.
- Other duties as assigned by principal.
- High school diploma or equivalent.
- Minimum 3 year of experience in an increasingly responsible similar position.
- Excellent communication and clerical skills; ability to work well with others.
- Demonstrates organizational skills & ability to multitask.
- Proficient In Microsoft Office Suite, word, excel and general office equipment.
- Serve as a liaison between administrators, faculty, students, parents and the public.
- Exhibits good judgment, with ability to work independently with little direction.
- High degree of flexibility to achieve objectives and meet demands.
